Job Purpose

This role is required to manage and support the company wide end-to-end sourcing, tender and acquiring goods and services process the Local Business Units (LBUs). This position is responsible to support the various LBUs on business tender opportunities and ensure that conversions of savings or cost reductions KPIs are achieved. This position is also responsible to monitor and track the key performance indicators (KPI) that have been agreed and provide monthly cadence to the relevant stakeholders.

Responsibility

  • Identify multiple potential proposals from various platforms and overall manage the proposals process to ensure it is presented to the management for review and approval prior to final publishing / submission.
  • Coordinate and communicate proposal documents delivery and costing requirements to the key support functions to meet proposal deadlines while raising, tracking and documenting issues.
  • Overall project management and ensure all relevant documentation for bid proposals is complete and accurate.
  • Perform analysis on procurement related data to facilitate decision making (as and when required) and support the development of procurement strategies.
  • Prepare reports for the management such as summary schedules, proposal overviews, competitive overviews and cost / price summaries, evaluation reports, annual plans, etc.
  • Conduct procurement related trainings and guidance on Procurement policies and procedures to Business Users.
  • Ensure individual and team KPIs based on SLAs are met.
  • Track and ownership of team performance.
  • Track and prepare performance dashboards for the LBUs.
  • Support the development of Procurement policies and procedures to improve productivity and drive continuous process improvement.
  • Manage business processes in accordance with internal control, policies and procedures, where applicable.
  • Review business processes document to ensure documentation is in accordance with GBS documentation standards.
  • Act as the key coordinator and support audit activities conducted by internal & external auditors.
  • Identify deficiencies or improvements required in the procurement processes and propose corrective actions or improvement plans.
  • Support ad-hoc projects assignments and continuous improvement activities to streamline and improve operational procedures.


Requirements

Education

  • Bachelor’s Degree in Business Administration / Supply Chain / Purchasing or equivalent.


Experience

  • Minimum 5 years of working experience in procurement / sourcing experience.
  • Experience in using Source-To-Pay tools in area of eRFx and eAuction.
  • At least 1 - 2 years of people management experience.
  • Experience in a global / shared services or similar environment providing procurement related services will be an added advantage.


Special Skills or Business Knowledge

  • Proficiency in any Procurement / ERP systems.
  • Advanced proficiency in Microsoft Office Suites.
  • Strong understanding of Procurement policies and hands-on knowledge of Procure-To-Pay solutions.
  • Strong understanding of procurement, business processes and systems.
  • Meticulous with strong analytical and documentation skills
  • Ability to develop strong relationships with internal and external stakeholders.
  • Ability to work independently and collaboratively with cross-functional teams (e.g. Legal, Finance, Compliance, Tax, etc.)
