We are seeking a detail-oriented and proactive Operations Executive to join our dynamic team. The Operations Executive will play a critical role in coordinating with Operations and Sales Consultants to ensure the seamless arrangement of training programs, including venue bookings, logistics, and related operational activities. This role requires strong organizational skills, excellent communication abilities, and a commitment to delivering high-quality service.

Key Responsibilities

Liaison and Coordination:

Collaborate closely with Operations and Sales Consultants to understand training requirements, schedules, and specific client needs.

Act as the primary point of contact for internal teams and external vendors to coordinate the arrangement of training sessions.

Training and Venue Management:

Research, identify, and secure appropriate venues for training sessions, ensuring they meet all necessary specifications.

Manage bookings and confirm all arrangements with venues, including seating arrangements, audio-visual equipment, catering, and other logistical needs.

Logistics and Operations:

Oversee the preparation and delivery of training materials, equipment, and other resources required for each session.

Ensure timely setup and smooth operation of training events, addressing any issues that may arise promptly and efficiently.

Coordinate transportation and accommodation for trainers and participants if required.

Documentation and Reporting:

Maintain accurate records of all training arrangements, contracts with venues, and other logistical details.

Prepare and submit reports on training operations, including feedback from trainers and participants to improve future sessions.

Budget Management:

Work within allocated budgets for training events, negotiating with vendors to secure cost-effective services without compromising quality.

Track expenses related to training operations and provide regular updates to the Operations Manager.

Continuous Improvement:

Identify opportunities to streamline processes and improve the efficiency of training operations.

  • Bachelor's degree in Business Administration, Operations Management, or a related field
  • Proven experience in operations, event management, or logistics, preferably within a corporate training environment
  • Strong organizational skills with the ability to manage multiple tasks simultaneously
  • Excellent communication and interpersonal skills to effectively liaise with internal teams and external partners
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with event management software
  • Ability to work independently and as part of a team in a fast-paced environment
  • Strong problem-solving skills and a proactive approach to handling challenges
