Job Title: RECEPTIONIST (Belle & Brave Clinic, Shah Alam)

Job Summary:

The receptionist at an aesthetic clinic serves as the first point of contact for clients and is essential in creating a welcoming and professional environment. The role involves managing appointments, providing clients with information about treatments, handling payments, and supporting clinic staff in delivering an exceptional client experience.

Key Responsibilities:

1. Client Engagement:

- Greet clients and visitors warmly and professionally upon arrival.

- Handle client inquiries about treatments and services in person, over the phone, and via email.

- Ensure clients are comfortable while they wait for their consultations or treatments.

2. Appointment Management:

- Schedule and confirm client appointments through the clinic’s booking system.

- Provide clients with pre-treatment instructions and follow-up care information.

- Manage appointment cancellations or rescheduling and ensure optimal use of the clinic’s schedule.

3. Front Desk Operations:

- Answer incoming calls and emails promptly, directing them to the appropriate staff when necessary.

- Keep the reception area clean, organized, and stocked with informational brochures and marketing materials.

- Manage the check-in and check-out process for all clients, including completing necessary forms.

4. Client Record Keeping:

- Maintain and update client profiles, ensuring accurate information and confidentiality.

- Prepare consultation forms and ensure all necessary information is documented before treatments.

5. Financial Transactions:

- Process payments for treatments, services, and retail products (cash, credit,debit or other methods).

- Issue receipts, manage invoices, and handle any financial discrepancies professionally.

6. Customer Relations & Care:

- Respond to client feedback or concerns in a professional manner, ensuring any issues are addressed quickly.

- Follow up with clients post-treatment to ensure satisfaction and encourage future visits.

- Assist with managing loyalty programs or promotions for returning clients.

7. Collaboration with Clinic Staff:

- Coordinate client schedules with aesthetic doctors, therapists, and other team members.

- Inform staff of any special requests, allergies, or other relevant client information.

- Assist in communicating any promotional offers or special packages to clients during interactions.

Skills & Qualifications:

- Prior experience in a similar role within an aesthetic clinic or beauty industry is preferred.

- Excellent communication skills, with a warm, customer-service-oriented demeanor.

- Familiarity with clinic management or booking software

- Basic understanding of popular aesthetic treatments (e.g., Botox, fillers, facials, laser treatments) is extra beneficial.

- Professional appearance and the ability to maintain confidentiality with client information.

- Strong organizational skills and the ability to multitask in a busy clinic environment

Job Type: Full-time

Pay: RM1,600.00 - RM2,500.00 per month
