Administrative Duties:

  • Handle day-to-day administrative tasks such as incoming calls, emails, and inquiries.
  • Maintain a well-organized filing system for both physical and digital documents.
  • Coordinate and schedule appointments, meetings, and events.
  • Manage correspondence, prepare notices, maintain office supplies, and assist with general office operations.
  • Take instructions from the Manager for any assignments given and ensure to regularly update the Manager on all relevant matters, especially concerning pending or unfinished work.
  • Maintain accurate data entry for all resident records and ensure data integrity and confidentiality in all related matters.
  • It is compulsory to adhere to all Standard Operating Procedures (SOPs). You will be held responsible for any non-compliance with the SOPs. Should there be any intent to propose changes to SOPs related to your job responsibilities or those of the Management Corporation, you must first communicate with the Manager and seek proper approval.

Bookkeeping and Accounting:

  • Maintain accurate financial records.
  • Process invoices, receipts, and payments.
  • Assist in the preparation of financial reports.
  • Ensure compliance with accounting standards and company policies.
  • Follow up on residents' late payments, prepare documentation for tribunal proceedings, and follow up on court cases.
  • Ensure the issuance of cheques on time.
  • Accurately enter financial and administrative data into the company's systems, ensuring data integrity and confidentiality.
  • Organize and maintain physical and digital records related to financial transactions, employee data, and other administrative documents.
  • Communication and Coordination:
  • Assist in communicating with residents, vendors, local authorities, and internal team members to facilitate smooth administrative and financial processes.
  • Prepare required documents for management, residents, AGM, and monthly meetings.
  • Take minutes during monthly meetings.
  • Assist in the payment of bills and ensure all bills are paid on time.
  • Keep the filing room in good order.
  • Ensure licenses are up to date.
  • Maintain copies of IDs for all personnel working in the compound, including keeping up-to-date records and monitoring the validity of foreign workers' passport and visa copies to ensure compliance with legal requirements.

Human Resources Support:

  • Assist in the preparation of management staff’s salaries, attendance, and leaves.
  • Additional Responsibilities:
  • Act as a backup team for inspection work done by service providers.

Required Education or 2-3 years Experience in Accounting or Engineering.

Pay: RM2,500.00 - RM3,500.00 per month
