Marlborough College Malaysia is looking to appoint an HR Executive who is well-qualified, committed and dedicated to supporting the smooth running of the administration and operations of the HR department. The post-holder is required to manage the overall administration, end-to-end recruitment process and other administrative tasks.

Recruitment Responsibilities

  • Upholding the ethos and culture of the College in all communications, ensuring professionalism is maintained both internally and externally.
  • Assist in utilising search engines, job boards, LinkedIn, and social media channels to source candidates.
  • Aid in direct sourcing techniques, such as cold calling and internet searches, under the guidance of senior team members.
  • Tracked and followed up on all candidate applications and assisted in connecting potential candidates with hiring managers for interviews.
  • Help generate and submit job postings on job boards and the internal/external website.
  • Search resumes in the applicant database and forward relevant profiles to the appropriate hiring manager.
  • Conduct initial phone screens to assess candidates’ basic skills, interest, and cultural fit, and report findings to senior recruiters.
  • Provide candidates with clear information on the interview process and expectations.
  • Carry out other duties as requested by the line manager, ensuring flexibility and adaptability in supporting the recruitment process.

Onboarding and Offboarding Responsibilities

  • Assist in coordinating a smooth onboarding process for new employees and the offboarding process for departing staff, both local and international.
  • Help prepare and distribute HR induction materials and onboarding information.
  • Provide administrative support for expatriates and their families on issues related to immigration, housing, healthcare, and education during their relocation.
  • Assist in addressing feedback and making suggestions to improve the relocation experience for new employees.
  • Collaborate with senior team members to ensure that all relevant support is provided to new joiners relocating internationally.
  • Assist in addressing staff inquiries related to contracts, escalating concerns to the Line Manager when necessary.
  • Help prepare and manage internal announcements for new staff appointments and ensure they are communicated to all staff in a timely manner.
  • Required to undertake any ad hoc tasks as needed.

Communication and Service Delivery

  • Communicate effectively and professionally in both formal and informal situations in accordance with college standards including but not limited to the authorities and parents.
  • Ensure that communication routes within the HR department are clearly defined, effective, efficient and active.
  • Seek to build long-term relationships with all levels of the organisation and promote a positive vision of the HR Department and support team.
  • Set the overall standard for the HR service, monitoring service levels, maintaining overall quality standards and balancing conflicting demands.

The College will carry out regular performance reviews to evaluate employee performance, offer constructive feedback, and support professional development within the organisation.

Requirements

  • The candidate must hold at least a Bachelor’s degree in Human Resources, Business Administration, or a related field, with a minimum of 3 years of experience in the Human Resources Department.
  • Strong ability to manage multiple tasks while maintaining attention to detail.
  • In-depth knowledge of employment laws and HR best practices.
  • Proven experience in conducting interviews and evaluating candidates.
  • Preferable experience in the education industry.
  • Excellent proficiency in English, both written and spoken.
  • Proficient in Microsoft Office, including Excel, Word, and PowerPoint.
  • Strong organisational skills and the ability to handle confidential information with discretion.
