Job Summary:

The Admin Executive will provide comprehensive administrative support to ensure the efficient operation of the office. This role involves handling a variety of tasks, including maintaining records, checking attendances, and facilitating communication within the organization. Key Responsibilities:

  • Office Management:
  • Oversee daily office operations to ensure a smooth workflow.
  • Manage office supplies inventory and place orders as needed.
  • Coordinate and supervise office maintenance and repairs.
  • Handle incoming and outgoing mail and deliveries.
  • Administrative Support:
  • Prepare and format documents, reports, and presentations.
  • Assist in the preparation and execution of company events and meetings.
  • Handle confidential information with discretion.
  • Provide executive support to senior management
  • Communication:
  • Serve as the point of contact for internal and external communication.
  • Draft, proofread, and send correspondence on behalf of the executive team.
  • Facilitate effective communication between departments and team members.
  • Record Keeping:
  • Maintain accurate and up-to-date filing systems, both electronic and physical.
  • Organize and archive documents and records according to company policies.
  • Assist in data entry and management of company databases.
  • Project Assistance:
  • Support special projects and initiatives as required by the management team.
  • Track project timelines and deliverables, ensuring deadlines are met.
  • Prepare project-related reports and updates.
  • Provide support to clients and stakeholders as needed.
  • Handle inquiries and resolve issues in a timely and efficient manner.
  • Compliance and Procedures:
  • Ensure compliance with company policies, procedures, and regulations.
  • Assist in the development and implementation of office procedures and policies.
  • Conduct regular reviews of administrative processes and recommend improvements.

Qualifications:

  • Diploma/Bachelor’s degree in Business Administration, Management, or a related field preferred. Relevant certifications or diplomas may be considered.
  • Minimum of 1 year of experience in an administrative or executive support role.
  • Experience with office software (e.g., Microsoft Office Suite) and office equipment.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Ability to multitask and prioritize tasks effectively.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Proactive and adaptable to changing priorities and tasks.
