JOB DESCRIPTION:

People Operations Management:

  • Lead and manage the day-to-day activities of the HR Operations Department, ensuring
  • seamless HR service delivery.
  • Develop and implement service delivery strategies that align with stakeholder needs and
  • overall business objectives.
  • Streamline and optimize HR processes, including but not limited to onboarding,
  • offboarding, staff movements, claims and reimbursements for operational efficiency.
  • Ensure full compliance with organizational policies, labor laws, and relevant regulations,
  • fostering a legally compliant workplace.
  • Monitor workflows and processes to ensure accuracy, efficiency, and adherence to
  • established standards.
  • Provide timely and accurate responses to employee inquiries regarding HR policies,
  • processes, benefits, and payroll-related matters.
  • Oversee payroll and service providers payments, ensuring all are processed and paid
  • according to terms and agreements.
  • Ensure HR service delivery activities meet established SLAs and performance
  • expectations.

Payroll Management:

  • Oversee the entire payroll process, ensuring accurate and timely salary disbursements.
  • Maintain compliance with local payroll regulations, tax laws, and statutory requirements.
  • Conduct comprehensive payroll reviews to minimize errors and ensure data accuracy
  • and integrity.

Benefits Administration:

  • Ensure benefits data within SAP SuccessFactors is accurately maintained and updated.
  • Act as the subject matter expert on benefits administration, offering guidance to
  • employees and leadership.

Data Management:

  • Ensure the accuracy and integrity of HR data in the HRMS (SAP SuccessFactors) to
  • support efficient operations.
  • Provide support and troubleshooting assistance to employees regarding system usage.
  • Generate detailed reports and analytics to provide actionable insights for HR decision-
  • making and strategy.

Employee Support:

  • Address employee inquiries related to HR policies, benefits, payroll, and other operational matters in a timely, professional manner.
  • Provide guidance and support to HR teams and business partners, promoting a customer-centric approach to HR service delivery.
  • Act as the primary escalation point for employee complaints, handling issues proactively and with responsiveness.

Project Management:

  • Lead selected HR initiatives aimed at driving organizational transformation, continuous improvement, and enhancing the employee experience.
  • Participate in HR improvement projects, offering expertise and support to ensure successful implementation.
  • Manage and coordinate HR-related projects, ensuring alignment with business goals and on-time delivery.

Compliance & Risk Management

  • Prepare and submit all required regulatory reports to ensure compliance with applicable employment laws and statutory requirements.
  • Ensure adherence to relevant company policies, procedures, and work instructions as outlined in the Company’s Quality System.

People Management

  • Coach and motivate staff; identify learning opportunities for staff development and advancement; track work progress; in order to build staff competencies on the job and encourage motivation, pro-activeness and job satisfaction of all direct reports.

REQUIREMENTS:

  • Bachelor’s Degree in Human Resources Management or other relevant qualification with minimum 10 years experience with at least 3 years in a managerial role for a large or conglomerate organisation.
  • Master’s degree or HR certification (e.g., SHRM, CIPD) is a plus.
  • Strong knowledge of HR Operations, including but not limited to Hire to Retire activities, payroll, benefits administration, HRIS, data maintenance and analytics. Prior experience with HR systems SAP Success Factors is an added advantage.
  • Strong knowledge of HR legislation and practices, including Malaysian employment laws.
  • Exposure to HR Transformation Projects is an added advantage.
  • Proven experience in leading and managing HR Operations teams.
  • Excellent interpersonal, communication, and problem-solving skills.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
  • Experience with HRIS systems and data analytics for decision-making and reporting.
