DOO you have what it takes?

What you’ll be working on:

  • Assume the role as the primary point of contact between the members and internal/external stakeholders.
  • Serving visitors by greeting, welcoming, directing and announcing them appropriately.
  • Managing and assisting day-to-day general office administration work, operational, and coordination with regional offices.
  • Handling procurement tasks such as office supplies and equipment including (but not limited to) sourcing, quotation compiling, handling, allocation, etc.
  • Collaborating with team members on Wednesday Tea break planning and other office activities/ events.
  • Make travel and accommodation arrangements.
  • Manage members’ calendars and set up meetings.
  • Rack daily and monthly expenses and prepare weekly, monthly or quarterly reports.
  • Produce professional-quality reports, presentations, and briefs.
  • Assisting in upkeep and maintenance of the company hostel.
  • Develop and carry out an efficient documentation and filing system for electronic records.
  • Undertaking other special assignments and ad-hoc functions assigned by the superior.
  • Willing to travel as needed.

What we’re looking for:

  • Candidate must possess at least a Bachelor’s degree in related field with minimum 2 years’ experience as an Administrative Executive, or in other secretarial position
  • Required skills(s): Computer literate (Particularly MS Word, MS Excel and PowerPoint), administration, operational, detail-oriented.
  • Excellent communication and organizational skills.
  • High standard of dress and presentation.
  • English and Mandarin proficiency is mandatory as candidate is expected to liaise with Mandarin speaking counterparts.
  • Full knowledge of office management systems and procedures
  • Handle requests, feedback, and queries quickly and professionally
  • Basic bookkeeping and math skills
  • Excellent planning and time management skills
  • Ability to stay calm and on-task in high-stress situations.
  • Ability to multitask and prioritize daily workload.
  • High level verbal and written communications skills
  • Discretion with personal and confidential information
