Purpose of the role.

A purchasing manager is responsible for overseeing the acquisition of goods and services for the company. This role ensures that the company obtains quality products at competitive prices whilst managing supplier relationships. This role will be responsible for the management and supervision of the ongoing purchasing and sourcing activities within the company whilst working alongside cross-functional operational teams to save, manage and control costs.


Purchasing Responsibilities
Perform supplier sourcing, product evaluations, negotiations, performance monitoring, vendor relationship management and continuous improvements for the company.
Responsible for generating purchase orders using an ERP system and manage imports and trade documentation in compliance with statutory regulations with the required authorities.
Build and maintain positive trust relationships with key suppliers and vendors whilst developing and implementing best practices, procedures, and policies for the procurement cycle.
Expedite purchase orders and ensure suppliers deliver requested items within set times.
Continuously compare product prices and service quality to ensure the company always obtains best pricing.
Maintain accurate records whilst ensuring filing systems are implemented for the effective administration of purchasing and shipping documentation for traceability purposes.
Consult with suppliers for delivery and transport management, monitor and coordinate delivery and ensure a minimum safety stock level is maintained.
To deal with suppliers on any quality issues, products replacement, products sample requests and pricing whilst keeping an up-to-date database.
Maintain a clear and transparent filing system in SharePoint of all purchasing documentation.
Continuous improvement and working towards set purchasing KPI’s.

Daily Routine Tasks

  • Liaising and raising purchase orders for both local and overseas suppliers.
  • Raising Purchase Orders on Armor Australia as required for items purchased directly by head office.
  • Negotiating and corresponding with Suppliers for material & services quotes.
  • Monitor and negotiate credit terms with suppliers.
  • Preparing and submit monthly cash flow forecasts for all purchasing requirements.
  • Manage and review open purchase orders raised in the ERP system against suppliers.
  • Weekly review of open purchase orders and open sales order reports, review daily warehouse report.
  • Regular review, monitoring and updates of Purchase Order's with new delivery dates.
  • Responsible for the creation of shipments for import shipments in Pronto.
  • Manage and process stock transfers between warehouses upon receipt of orders.
  • Review and raise purchase orders for factory consumables orders as required.
  • Review and raise purchase orders against the company R&D projects.
  • Raising goods return purchase orders as required based off product NCRs provided by quality control.
  • Assist and support the operations team with cycle counting and annual stocktakes.
  • Undertake other duties which may be assigned by the company from time to time

The role of the logistics manager is crucial in ensuring the efficient and effective flow of goods and services, and information within the supply chain. By fulfilling the below responsibilities, the logistics manager plays a critical role in maintaining the efficiency and effectiveness of the supply chain, contributing to the overall success and profitability of the company.


Logistics Responsibilities

  • Build and maintain strong relationships with the company freight forwarding agents.
  • To co-ordinate with Freight Forwarders on issues related to import and export materials in accordance with the Customs Act and regulations.
  • To manage and coordinate the movement of products both inbound and outbound and prepare necessary shipping / delivery documentation.
  • Continuously compare freight prices and service levels with the forwarders to ensure that the company always obtains best pricing.
  • Collaborating with other departments, including sales, production and operations and finance regarding freight and shipping requirements.
  • Liase with management, operations, and the warehouse teams to manage shipping packing plans.
  • Arrange transport for local materials and finished goods.
  • Preparing and submit monthly cash flow forecasts for all freight & logistics requirements.
  • Maintenance of the Shipments in the Pronto System
  • Management of freight quotations and Freight invoices in preparation for payment.
  • Maintain a clear and transparent filing system in SharePoint of all shipping documentation.
  • Continuous improvement and working towards set purchasing KPI’s.
  • Maintain knowledge of the changes and latest trends & regulations relating to freight and export.
  • Maintenance of the Shipments in the Pronto System
  • Printing and reviewing Freight documents in preparation for payment.
  • Reviewing shipping documentation for compliance and to ensure accuracy.
  • To keep up with the current trends & regulations of the market

Daily Routine Tasks

  • Collating incoming delivery dockets and receiving paperwork from dispatch.
  • Collating paperwork for import shipment deliveries.
  • Creating shipments for imported materials through Pronto for inbound shipments.
  • Prepare commercial documentation for all outbound shipments.
  • Collate and manage purchase orders from Australia for all direct shipments of materials.
  • Attending weekly production meetings.
  • Coordinating with dispatch regarding packing plans and deliveries of customer orders.
  • Arranging and booking transport for both domestic & international freight requirements
  • Export customer shipments, co-ordinate freight quotes from forwarders.
  • Co-ordinate and prepare shipping documentation - Bill of lading, airway bills, permits etc.
  • Managing and advising forwarders on tradex exemptions.
  • Maintaining the export HS codes coordinating with the LMW licence requirements.
  • Perform other duties and responsibilities as assigned by the immediate superior.
  • Maintain a clear and transparent filing system in SharePoint of all shipment documentation
