Role Overview:

As an Event Associate/Manager, you will play a pivotal role in organizing and executing high-quality events that exceed client expectations. This position requires a blend of creativity, organization, and problem-solving skills. You will be responsible for handling all aspects of event planning, coordination, and execution to ensure each event is seamless and impactful.

Key Responsibilities:

Event Planning & Execution:

  • Assist in conceptualizing and planning various events, including corporate functions, conferences, and social gatherings.
  • Develop detailed event plans, including timelines and task assignments.
  • Coordinate all logistics, including venue selection, catering, transportation, and audio-visual requirements.

Client & Vendor Relations:

  • Serve as the primary contact for clients and vendors, ensuring clear communication and satisfaction.
  • Negotiate contracts and manage relationships to secure the best services and pricing.

On-Site Management:

  • Oversee event setup, execution, and teardown, ensuring all elements align with the event plan.
  • Address any issues that arise promptly and ensure a smooth event flow.
  • Supervise and direct event staff and volunteers.

Administrative Support:

  • Prepare and manage event budgets, track expenses, and process invoices.
  • Maintain accurate event documentation and records.
  • Conduct post-event evaluations and provide feedback for future improvements.

Marketing & Promotion:

  • Assist in creating and implementing marketing strategies for events.
  • Develop promotional materials, including invitations, programs, and social media content.

Qualifications:

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field, or equivalent professional experience.
  • Proven experience in event planning or management, with a strong portfolio of past events.
  • Excellent organizational skills and the ability to manage multiple projects simultaneously.
  • Strong communication and interpersonal skills, with a knack for client relations.
  • Proficiency in Microsoft Office Suite and familiarity with event management software.
  • Flexibility to work evenings and weekends as required by event schedules.
