Role Overview:
As an Event Associate/Manager, you will play a pivotal role in organizing and executing high-quality events that exceed client expectations. This position requires a blend of creativity, organization, and problem-solving skills. You will be responsible for handling all aspects of event planning, coordination, and execution to ensure each event is seamless and impactful.
Key Responsibilities:
Event Planning & Execution:
- Assist in conceptualizing and planning various events, including corporate functions, conferences, and social gatherings.
- Develop detailed event plans, including timelines and task assignments.
- Coordinate all logistics, including venue selection, catering, transportation, and audio-visual requirements.
Client & Vendor Relations:
- Serve as the primary contact for clients and vendors, ensuring clear communication and satisfaction.
- Negotiate contracts and manage relationships to secure the best services and pricing.
On-Site Management:
- Oversee event setup, execution, and teardown, ensuring all elements align with the event plan.
- Address any issues that arise promptly and ensure a smooth event flow.
- Supervise and direct event staff and volunteers.
Administrative Support:
- Prepare and manage event budgets, track expenses, and process invoices.
- Maintain accurate event documentation and records.
- Conduct post-event evaluations and provide feedback for future improvements.
Marketing & Promotion:
- Assist in creating and implementing marketing strategies for events.
- Develop promotional materials, including invitations, programs, and social media content.
Qualifications:
- Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field, or equivalent professional experience.
- Proven experience in event planning or management, with a strong portfolio of past events.
- Excellent organizational skills and the ability to manage multiple projects simultaneously.
- Strong communication and interpersonal skills, with a knack for client relations.
- Proficiency in Microsoft Office Suite and familiarity with event management software.
- Flexibility to work evenings and weekends as required by event schedules.
