Job Purpose:
The Purchasing Executive is responsible for managing the company's purchasing and import operations, ensuring timely and efficient procurement of goods from both international and local suppliers. This role involves sourcing, forecasting, order placement, and coordination with suppliers on all matters related to purchases. The Purchasing Executive will work closely with internal teams, suppliers, and forwarders to enhance purchasing processes, resolve issues, and contribute to the success of the Purchasing Department.

Key Responsibilities:

  • Collaborate with internal teams on purchase forecasts and order planning.
  • Oversee and manage the entire purchasing process to ensure accurate, timely orders and deliveries.
  • Work with suppliers and internal stakeholders to streamline purchasing operations and improve efficiency.
  • Address and resolve issues related to purchases, such as product quality, damages, or order discrepancies.
  • Maintain accurate records, reports, and performance metrics related to purchasing activities.
  • Compare supplier quotations to secure cost-effective procurement solutions.
  • Identify and implement opportunities for process improvements in purchasing operations.
  • Build and maintain strong relationships with vendors and suppliers.
  • Monitor inventory levels and coordinate with warehouse teams to ensure stock availability.
  • Analyze and compare product costs to optimize purchasing decisions.
  • Identify potential risks in the purchasing process and establish contingency plans.
  • Train and mentor junior staff or new hires on purchasing processes and best practices.
  • Act as the main point of contact for internal customers regarding purchasing inquiries.
  • Ensure compliance with local and international laws, regulations, and company policies.

Qualifications and Requirements:

  • Bachelor's degree in Supply Chain Management, Business Administration, or a related field.
  • Proven experience as a Purchasing Executive or similar role, with a strong understanding of supply chain and procurement processes.
  • Familiarity with international purchasing and import procedures.
  • Strong analytical and problem-solving skills, with attention to detail.
  • Excellent negotiation, communication, and interpersonal skills.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Proficiency in using purchasing software and Microsoft Office applications (e.g., Excel).
  • Knowledge of local and international procurement laws and regulations.
  • Ability to work independently and as part of a team.
  • Strong organizational skills with the ability to handle complex operations and vendor management.
  • Knowledge of inventory management practices is a plus.
