What You'll Responsible For:

  • Manage and process all vessels subscriptions ensuring that:
  • Every subscription is linked to a purchase order.
  • Purchase orders are correctly created, and account coded.
  • Invoices are matched to correct purchase orders and financial period.
  • Missing invoices to be identified and followed up with suppliers.
  • Raise separate purchase orders for any exceptional cost and set for vessel managers’ approval.
  • Manage Corporate Procurement spend as follows:
  • Purchase orders are raised in accordance with procedures and/or work with stakeholders on the creation of Purchase orders.
  • Goods receipt transactions are recorded.
  • Invoices are matched to purchase orders.
  • Report non-conformances
  • Manage Vessel and or corporate invoices as follows:
  • Ensure all incoming invoices are review and analyse for accuracy and correctness.
  • Ensure all invoices received are process via within agreed timeframe from date of receipt – 7 working days.
  • Data analysis
  • Review service delivery performance monthly, identify and address any concerns and bottlenecks affecting the processes related to PO Subscriptions and other related tasks.
  • Procurement Systems
  • Purchasing System expert user BASSnet, EyeShare, SAP, Simdojo, MS Excel and Word
  • Industry Knowledge
  • Strong awareness of marine industry and key drivers that effect the business - Excellent knowledge of WSM Supplier based.
  • Process Improvement (Kaizen Process Improvement - Process Waste Reduction Ideas)
  • Proactively suggest ways to improve service offered
  • Identify inefficiencies in processes and suggest improvements


Qualifications:

Mandatory requirements

  • 2 to 4 years of procurement experience is required, preferably in Ship Management, with substantial exposure to maritime purchasing, procurement, logistics, or supply chain management.
  • Diploma/Degree in commerce, business administration, accounting and/or finance.
  • Good command of English (Verbal / Written) is preferred
