Main Responsibilities:

1. Customer and Stakeholder Management:

  • Act as a primary point of contact between the Director and internal stakeholders, such as staff and department heads, to ensure smooth coordination and communication.
  • Serve as a liaison between the Director and external stakeholders, including clients, customers, suppliers, government bodies, and investors, ensuring clear and timely communication on critical issues.
  • Track and follow up on action items, ensuring all parties receive necessary updates and tasks are completed as required.

2. Documentation and Record-Keeping:

  • Manage, organize, and maintain all documentation related to B2B sales agreements, contracts, and communications.
  • Prepare reports, proposals, and any other written materials required by the Director, ensuring accuracy and clarity.
  • Ensure all files and documents are kept up-to-date and easily accessible for the Director and relevant teams.

3. Administrative Support:

  • Assist in coordinating internal and external meetings, including scheduling, preparing agendas, and arranging logistics.
  • Screen and prioritize emails, phone calls, and other communications for the Director, ensuring that urgent matters are handled promptly.
  • Liaise with different departments, such as finance and production, to gather information and updates for B2B-related activities.
  • Maintain confidentiality when handling sensitive company and client information.

4. Presentation Creation:

  • Prepare and design PowerPoint presentations for the Director, ensuring the content is clear, professional, and aligned with company standards.
  • Create tailored presentation slides for different stakeholders and purposes, including internal meetings, client presentations, industry events, government bodies, and investor pitches, ensuring the message is appropriate for each audience.

5. Social Media Management:

  • Manage the Director’s social media accounts, particularly LinkedIn and Facebook, ensuring that posts are consistent with the company’s goals and brand image.
  • Engage with clients, customers, and industry professionals on social media platforms, helping to enhance the Director’s professional presence and the company’s reputation.

6. Operational and Project Support:

  • Support the Director in coordinating B2B projects, ensuring deadlines are met and key deliverables are tracked.
  • Manage and maintain the Director’s task list, prioritizing tasks and following up to ensure timely completion.
  • Monitor and report on key sales metrics and project progress for B2B accounts, alerting the Director to any concerns.

7. Event and Travel Coordination:

  • Organize and coordinate travel arrangements for the Director, including flights, accommodations, and itineraries for B2B client meetings.
  • Assist in planning and executing B2B-related events, conferences, and client meetings, ensuring all logistics are managed smoothly.

Skills and Qualifications:

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role, ideally in a B2B environment.
  • Strong organizational and multitasking abilities, with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and CRM systems.
  • Familiarity with managing social media accounts, especially LinkedIn and Facebook.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong customer service orientation and ability to build relationships with clients and internal stakeholders.
