Key Responsibilities:

  • Facility Management:
    • Oversee the operation and maintenance (preventative and corrective) of building services, including HVAC, electrical, plumbing, and other mechanical systems.
    • Implement and manage a preventive maintenance program to minimize downtime, ensure cleanliness standards are met and prolong the life of office buildings of the Group.
    • Train and coordinate staff and new employees on all facility maintenance procedures including managing and prioritization of work orders by order of priority/emergency
    • Ensure compliance with all relevant health, safety, and environmental regulations.
    • Conduct performance evaluations of all maintenance staff
  • Vendor and Contractor Management:
    • Select, negotiate, and manage contracts with external service providers and contractors.
    • Monitor the performance of vendors and contractors to ensure quality work and adherence to service agreements.
    • Coordinate and supervise all contracted work to ensure timely and within-budget completion.
  • Budget Management:
    • Develop and manage the facilities budget, ensuring cost-effective use of resources.
    • Track and report on expenditures, identifying areas for cost savings and efficiency improvements.
  • Tenant Relations:
    • Serve as the primary point of contact for tenants regarding facilities issues
    • Respond promptly to tenant requests and concerns via all relevant channels (email, telephone call, WhatsApp etc.,), ensuring high levels of tenant satisfaction.
    • Collaborate with the leasing and property management teams to address tenant needs.
  • Sustainability and Innovation:
    • Promote and implement sustainable building practices to enhance energy efficiency and reduce environmental impact.
    • Stay informed about industry trends and new technologies to continuously improve building operations.
    • Lead initiatives to incorporate smart building technologies and other innovative solutions.
  • Emergency Preparedness:
    • Develop and maintain emergency response plans for building services.
    • Conduct regular emergency drills and training for staff and tenants.
    • Coordinate emergency response efforts and mitigate the impact of incidents.

Qualifications:

  • Bachelor’s degree in Facilities Management, Engineering, or a related field.
  • Minimum of 3-5+ years of experience in facilities management, particularly in commercial office buildings or shopping malls.
  • Strong technical knowledge of building systems, including HVAC, electrical, plumbing, and fire safety.
  • Proven project management and organizational skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities and work effectively under pressure.
  • Proficiency in facilities management software and Microsoft Office.
