Project Document Control/ Supplier Data Management During Bid & Award Phases
Responsible for supporting the Product Line, Project Execution and Engineering Teams during the Bid and Award Phases to deliver and maintain competitive Document Control / Supplier Data Management strategies and estimates.

Requirements
Responsible for managing all elements of Document Control / Supplier Data Management during the project execution phase, as defined during Bid & Award. Also provide support and guidance to the Project Execution and Engineering Teams on the status of project document review/approvals, and overdue documentation. Ensuring the Document Control team produce weekly / monthly reports in line with the project and contract requirements and that project document control work processes are consistently applied across the project. PRINCIPAL ACCOUNTABILITIES
- Understanding and implementing the document management requirements for the Project.
- Taking direction from and working with other project document control resources on the Project.
- Utilizing the corporate Document Management (including Supplier Data Tracking & Approval) Tool and functional discipline work processes to provide reliable and consistent project document management / supplier data services in support of the Execution and Engineering Teams to ensure that we can meet the project, regional/global project portfolio and business requirements.
- Follow the project document management EMDS configuration, review and approval matrix, access control, submittal review, reporting requirements, close out, record retention, and final archiving activities, including Handover to Operations for the region.
- Ensure the established processes and procedures are implemented accurately and followed through efficiently to completion to support the schedule of the Project.
- Process incoming documentation (i.e., registration in the EDMS, quality check, distribution, life cycle follow-through & reporting).
- Process outgoing documentation (i.e., quality check, transmittal creation, distribution & reporting).
- Provide support to the Project Execution and Engineering teams to deal with project set-up/close-out, project-specific issues and internal/external requests, and broader Document Control / Supplier Data Management problem-solving.
- Develop and maintain accurate Document / Supplier Data Management metrics for the project, in line with project and contract requirements.
- Support Field Document Control activities as needed.
- 0-2 years of similar or relevant professional work experience.
- Experience on petrochemical/coal chemical projects is preferred.
- Experience with international engineering company is preferred.
- Willing to work on project site, and accept international project assignments.
- Good English skills.

Requirements

In addition:
- Understand the requirements for third party client approvals for each project and ensure clear work process is defined, documented and adhered to.
- Interface with the global/regional Document Controls team to optimize work sharing.
- Resolve system issues/discrepancies and actively chase individuals to resolve problems.
- Liaise with the project team, project management, and site construction team daily.
- Support the client and external vendors with the Air Products Document Management system tool and work process support.
- Organizing and maintaining the project Master Document Register.
- Communication and training to internal disciplines to understand the project documentation requirements.
- Produce regular Document Control / Supplier Data Management status reports for the project team. Follow-up on late/overdue documents / supplier data and escalate to Project Execution team when necessary.
- Work closely with the wider project teams to support project documentation requirements.
- Develop and maintain clear and efficient work instructions and procedures, based on the Air Products Document Control / Supplier Data Management tools
- Ensure the document team are fully trained and competent in the use of the Air Products Document Control / Supplier Data management tools and work processes/procedures
