JOB PURPOSE:
- Secretarial and administrative focal point for office management, dissemination of information from the President/Chief Executive Officer to other levels of staff. Also, to achieve, meet and exceed the targets and service level set by the Bank.
PRINCIPAL ACCOUNTABILITIES:
- Effective Cost Management in P/CEO's office to ensure the cost is within the approved budget and cost saving at least 10% from the spending total amount.
- Manage the daily administration of President/CEO’s office and to ensure smooth running of its operation.
- Maintain good rapport and effective communications with superiors, peers and subordinates.
- Ensure proper telecommunication courtesies to be extended at all times.
- Ensure a positive and healthy working environment in President/CEO’s office.
- Disseminate information/instruction from the P/CEO to other levels of staff and to follow up on feedback and response.
- Assist P/CEO with time/diary/travel management and arrangement as well as and personal duties and tasks including making travel arrangement, hotel reservation, arranging & coordinating business schedule/itinerary, company events, social functions, and general correspondence for the President/CEO.
- Ensure expeditious conduct of scheduled meetings/appointments, with relevant documents readily and at hand.
- Assist P/CEO on ad-hoc assignments given from time to time as and when necessary, within the stipulated deadline.
- Provide general secretarial support and administrative duties to the President/CEO such as screening and attending telephone calls, day to day administrative and operational matters including scheduling appointments, conferences, meetings and attending to internal and external correspondence.
- Maintain an appropriate filing system by documenting all relevant documents systematically for easy access and secure manner.
- Responsible in dealing with vendors, building management, office supplies & equipment for the President/CEO’s office.
- Monitor the company driver’s daily movements.
- Key liaison person on all hardware/software and office peripherals for the President/CEO’s office.
- Maintain strict confidentiality and interact professionally with all levels of staff.
- Attend relevant course/training to enhance the skills required during daily routine and administration works.
- Improve the knowledge, skill, ability, and personal characteristic that applied.
QUALIFICATIONS:
Min Education and Qualifications
- Degree in Economy/Business Administration/Professional Certificate or equivalent.
Relevant Experience Required
- More than 3 years of relevant experience as Secretary/Executive Secretary specializing in handling top management or equivalent.
- Has vast knowledge in Bank’s day to day operations and familiar with Bank’s policies and procedures.
KNOWLEDGE AND SKILLS:
- IT savvy and proficient in MS Office such as MS Word, Excel and PowerPoint.
- Report writing, drafting correspondence, strong communications.
- Proficient in English and Malay language, both written and spoken.
