Job Description:

  • Oversee daily operations of the administrative department, including Order Processing, Customer Services, Billing and General Admin.

1. Overseeing Daily Operations:

  • Lead and manage the administrative department to ensure smooth operations across various functions, including Order Processing, Customer Services, Billing, and General Administration.
  • Coordinate between different teams and departments to streamline communication and operations.
  • Monitor workflows, set clear objectives, and allocate resources effectively to meet departmental and company goals.
  • Develop, review, and improve administrative systems, policies, and procedures.
  • Plan and implement ISO 9001 and HACCP standards; ensure compliance by all admin department employees.

2. Order Processing:

  • Supervise the end-to-end order processing cycle, ensuring timely and accurate order fulfillment.
  • Oversee order intake, data entry, product allocation, and order dispatch.
  • Work closely with the logistics and supply chain teams to ensure that all orders are delivered within expected timelines.
  • Resolve any discrepancies in order processing, such as incorrect orders, delays, or product shortages, ensuring effective communication with all stakeholders.
  • Maintain accurate records of all transactions, orders, and customer interactions.

3. Customer Services:

  • Establish and implement continuous process improvements through customer feedback on service standards.
  • Develop and implement customer service standards and policies to improve customer satisfaction.
  • Work closely with the customer service team to review customer feedback and identify areas for improvement.
  • Analyze customer service data to identify trends, common issues, and opportunities for process optimization.
  • Address complaints and inquiries promptly, providing effective resolutions to enhance customer experience.
  • Create training programs to ensure customer service representatives are equipped with the skills needed to handle inquiries and complaints efficiently.

4. Billing:

  • Oversee the billing processes, ensuring accurate and timely invoicing.
  • Review and approve invoices before submission to customers.
  • Ensure that all billing queries are handled promptly and resolve any discrepancies or disputes.
  • Ensure compliance with financial regulations and company policies during the billing and invoicing process.
  • Collaborate with the finance department to ensure smooth cash flow and resolve any payment issues.

5. General Administration:

  • Manage the general administrative tasks to support the efficient operation of the department.
  • Develop and implement internal processes and policies to improve administrative efficiency.
  • Ensure the administrative team is supported in their daily tasks and provide training where necessary to improve their skills and performance.
