We are looking for a diligent individual who can support our CEO with diary management, meeting preparation, relationship management, event attendance, travel administration and ad-hoc projects as required.

Main Responsibilities:
• Manage and maintain the CEO’s diary and ensure that the CEO is fully prepared for all meetings and engagements with relevant briefing notes.
• Filter general information, queries, phone calls and invitations to the CEO by redirecting or taking forward such contact as appropriate.
• Keep and maintain an accurate record of papers and electronic correspondence on behalf of the CEO.
• Handle confidential information; organize and maintain files.
• In the absence of the CEO, prepare correspondence on their behalf.
• Meet and greet CEO’s guests and ensure they are looked after.
• Manage, coordinate and maintain calendar of CEO including appointments, meetings and travel.
• Responsible for organising internal and external meetings on behalf of the CEO ensuring all necessary requirements are made e.g. meeting venue, equipment, presentations.
• Responsible for organising CEO travel and logistics including flights, hotel accommodation, meeting schedules while travelling and completing expenses.
• Secretarial support for meetings as and when required by the CEO, including drafting and circulating meeting agendas, preparing minutes, communicating meeting reminders, confirming venues and arranging refreshments. Writing and distributing comprehensive minutes and action points to all members post meeting
• Responsible for managing CEO’s personal driver’s daily schedule in line with CEO’s daily requirements

Skills and Qualifications:
• Excellent verbal and written communication skills both in Bahasa Malaysia and English.
• Experience of complying with Company Secretary obligations and support of those responsibilities.
• Strong planning and organisational skills, able to adapt and respond to the unexpected.
• Confidence to raise issues if clarification needed, proactive, self-motivated, discrete and organised approach.
• Willing to travel as and when required, especially on weekend.
• Attention to detail and high level of accuracy.
