Overview of the Position:

This role involves assisting in the management of safety and health protocols, overseeing security measures, and ensuring the overall maintenance of facilities. The position requires a proactive approach to promoting a safe and secure environment while maintaining efficient facility operations.

The role required to execute the below tasks and initiative:

Safety and Health

  • Policy Development and Compliance: Assist to implement and maintain Occupational Safety & Health (OSH) policies, procedures and guidelines in compliance with relevant law and regulations e.g., OSHA, DOSH. Assist to develop and implement comprehensive emergency plans, including fire prevention plan, first aid procedures, emergency and evacuation procedures, fire drill, natural disaster preparedness plans, crisis strategic and threat analysis
  • Safety Awareness and Training: Design and implement training sessions for all personnel, including contractors, focused on emergency response and workplace hazards.
  • Risk Assessments (HIRARC): Schedule and perform HIRARC to identify hazards and develop appropriate control measures.
  • Emergency Response Management: Assist in preparation and maintenance of the Emergency Response Team (ERT)and Floor Warden requirements, including necessary equipment and related training
  • Crisis Management Plan: Develop a crisis management strategy that includes communication protocols and roles during emergencies.
  • Record Keeping: Ensure timely and accurate documentation of safety inspections, incidents, and security breaches. Maintain a centralized safety record system for easy access and reference.
  • Continuous Improvement: Collect and analyse safety-related data to identify areas for improvement. Regularly solicit feedback from employees and management to enhance safety standards.

    Security Management

    • Surveillance System Oversight: Monitor security camera systems and respond to any suspicious activity or alerts.
    • Workplace Inspections: Conduct routine inspections of security protocols and physical security measures across all buildings.
    • Compliance Checks: Ensure the security of all buildings through effective access control systems, surveillance, and security protocols.
    • Security Systems Management: Overseeing the installation and maintenance of security systems, such as surveillance cameras, access control, and alarm systems.
    • Policy Development: Assist in developing security policies that cover all aspects of security operations.
    • Security Personnel Management: Manage security personnel, ensuring they are well-equipped to handle their duties.
    • Record Keeping: Maintain up-to-date records of security logs, incident reports, and access control data for review and compliance purposes.
    • Law Enforcement Liaison: Coordinating with law enforcement and emergency services as needed.

      Facilities Management

      • Daily Operations Management: Oversee day-to-day operations of all building systems, including HVAC, electrical, plumbing, fire safety, and elevators, ensuring they function efficiently and safely.
      • Repairs, Renovations, and Upgrades: Oversee all repairs, renovations, and upgrades, ensuring they are completed on time and within budget.
      • Space Planning and Utilization: Analyse and plan the use of space to maximize efficiency and ensure compliance with health and safety regulations.
      • Preventative Maintenance Programs: Conduct, implement and monitor preventative maintenance programs to ensure the longevity of building infrastructure.
      • Vendor Management: Negotiate and manage contracts, ensuring that all services are delivered to agreed standards and within budget. Monitor vendor performance, address service issues, and manage contract renewals or terminations as needed. Ensure compliance with procurement policies and procedures for selecting third-party providers.
      • Expenditure Record: Track facility expenditures, optimize costs, and identify opportunities for cost savings through operational efficiencies.

To be successful in this role, we are expecting the below:

  • Possess at least a Diploma or Bachelor’s degree in any field.
  • Minimum of 3-5 years’ experience in safety & facilities management.
  • Well knowledge in Occupational Safety and Health Act (OSHA) 1994.
  • Proficient in both verbal and written in Bahasa Melayu and English.
  • Excellent communication and interpersonal skills to deal with internal and external stakeholders.
  • Work location: Bukit Jalil (Nearby Pavilion Bukit Jalil).
