Job Summary

To provide support to the City Asia management team (Singapore, Malaysia and Hong Kong) to implement, maintain and improve the City’s HSEQ Management System (CMS), by:

  • Development of policies & procedures,
  • Management of documentation and information.
  • Coordinate and conduct internal and external ISO audits and audit schedules.
  • Creation and maintenance of HSE and Business/Quality risk registers.
  • Creation and maintenance of Corrective Action Register, and closure of CMS related corrective actions.


Job Description

HSEQ Document and Records Management

  • Provide policy, procedure and process development and document control services across the business, including document formatting and maintenance of the Information Centre.
  • Develop and maintain document control and records management processes covering the full scope of company activities.
  • Provide advisory and oversight of functional team sites to ensure document control requirements are followed.
  • Collaborate with business representatives to ensure functional team sites are established and maintained in a manner that complies with company document and records control processes.


HSEQ Business Management Framework

  • Support the City management with the preparation of CMS / quality reports & meeting minutes.
  • Schedule and carry out internal and external audit interviews with internal stakeholders and external audit bodies
  • Respond to and handle queries by City team members in relation to the CMS.
  • Raise and monitor corrective actions via internal and external audits, incidents, detected nonconformances, meetings and risk reviews; and ensure their timely and effective closure with responsible business representatives.
  • Participate in process efficiency workshops and the development of functional process maps and improvement plans.
  • Lead and/or support special projects related to the improvement of the CMS as required.


Business Risk and Compliance

  • Maintain Quality, Health & Safety and Environmental Risk Registers
  • Develop and maintain an annual internal audit program designed to assess the effectiveness of process implementation, integrity of risk controls, and compliance to relevant legislative/regulatory and ISO standard requirements.
  • Monitor changes to statutory and regulatory requirements and assess impact to City


Job Specifications

  • Internal lead ISO auditor qualification (required).
  • Bachelor's degree in relevant field.
  • Ability to travel internationally within Asia and to Australia.
  • Fluent in English, both written and verbal
  • At least 3+ years experience within in a quality management system / assurance role (or similar).
  • Sound understanding of ISO Standards such as ISO9001, ISO45001, ISO14001 and preferably ISO50001.
  • Experience in managing administration team members to ensure key outputs and outcomes are achieved.
  • Sound understanding of document and records management best practices, including the use of MS Teams and/or SharePoint, or similar document management applications.
  • Experience coordinating and conducting internal audits, including knowledge of audit processes and methodologies, with formal auditor qualifications.
  • Understanding of process improvement methodologies, including process mapping and control definition.
  • Understanding of quality improvement and risk management principles and ability to identify opportunities for improvement and / or non compliances.
  • Experience coordinating corrective actions that involve influencing multiple stakeholders to take required actions in a timely and effective manner.
  • Strong written skills and experience gained developing and/or reviewing policies, processes and instructional documentation.
  • Strong attention to detail.
  • Advanced Microsoft Office skills (particularly MS Word).
