Job Purpose

This position requires a competent and highly organised and able to respond quickly and positively in all situations with poise and efficiency. The job requires a great deal of responsibility and trust.

As an administrative professional, you will maintain office and administrative systems, oversee day-to-day local office operations, manage secretarial matters for Partners and C-level executives, and lead a team of administrative and support professionals both locally and across multiple offices.

Job Accountabilities and Responsibilities

Secretarial:

  • Provide administrative support to Partners and C-Suite executives
  • Coordinate conferences and manage logistics
  • Oversee and manage Executive Assistants and the front desk.
  • Assist with the production and printing of marketing materials and presentation collaterals
  • Create and edit presentation slides
  • Maintain and organise the electronic filing system
  • Communicate and collaborate with the Executive Assistants for major production projects
  • Foster teamwork collaboration with all Executive Assistant
  • Train and coach new Executive Assistants to ensure smooth onboarding
  • Schedule and coordinate meetings, ensuring all logistics are handled efficiently

Office Management:

  • Serve as the primary contact for all administrative matters within the office
  • Oversee general office maintenance and ensure facilities are well-maintained
  • Assist with contract renewals, tendering process, and monitor vendor performance
  • Liaise with facility management vendors, including cleaning and security services

Requirements

  • Formal secretarial training with Diploma/ Advanced Diploma in Private Secretaryship from a recognised college.
  • 7 to 10 years of relevant working experience in supporting Senior Executive and office management in an MNC or professional services environment.
  • Leadership skills, including the ability to delegate, supervise and see tasks through from start to finish
  • Excellent organization/prioritization skills (appointment/diary; flights, meetings, etc)
  • Proactive, flexible and multi-tasking capabilities are necessary
  • Familiar with Microsoft Office Applications (Word, Excel and graphic software particularly in Power Point)
  • Exceptional communication skills and ability to interact effectively at all levels and across diverse cultures
  • Fluency in English
