Role Purpose:

Manage office and facilities management, including maintenance, security, safety, space and fit-outs, and mail-room coordination in order to create a conducive, safe, functional, and well-maintained environment that supports SETEL operations.

In This Role You Will:

  • HSE Policy and Guidelines: Develop and maintain health, safety, and environmental (HSE) and security policies and procedures in alignment with PETRONAS HSE and security standards, relevant regulations and industry best practices.
  • Occupational Safety Management: Monitor and identify potential workplace hazards and conduct regular risk assessments to identify possible danger and recommend preventive measures to ensure occupational safety of the employees.
  • Emergency Response Planning: Develop and implement emergency response plans, including evacuation procedures, first aid, and coordination with emergency services to ensure employee safety and minimize physical damage to structures and property.
  • HSE Communication, Reporting & Record Keeping: Design and conduct continuous education and communications such as HSE Awareness Campaign in order to promote generative HSE culture. Maintain proper records related to safety training, incidents, inspections, and any other relevant data and provide timely HSE incident reporting to management when required.
  • Office Management: Manage front desk and coordination support for visitors. Ensure workplace surroundings are well kept, conducive and safe for staff at all times, including liaison with building management for maintenance activities on need basis as well as periodically. Maintain office supplies (e.g. stationery, pantry supplies) by monitoring inventory and placing orders as needed, to ensure sufficient stocks and availability for staff consumption within the allocated budget.
  • Office & Event Procurement: Perform purchasing activities (including vendor sourcing, registration and KYC) for routine and/or low-value items including but not limited to office facilities, utilities, materials, supplies as well as meeting/event materials and refreshments within the established procurement guidelines.
  • Continues Improvement: Recommend and implement improvement initiative based on lessons learned from incidents and inspections to ensure no repetitive occurrence.
  • General Responsibilities: All employees are required to ensure adherence to the
  • compliance of company policies, industry regulations and legal requirements.

You're A Great Fit If You Have:

  • Experience in facilities management, HSE, business administration, or a related field.
  • Minimum 2 years’ working experience in Office management, HSE, or related roles.
  • Familiarity with Occupational Safety and Health Act 1994 standards is an advantage.
  • Excellent communication and interpersonal skills to collaborate with internal and external stakeholders effectively.
  • Ability to handle sensitive information with confidentiality and integrity.
  • Minimum Diploma / Degree In Business Management or other relevant qualifications.
  • Proficiency with office applications and aptitude for learning new software and systems.
