  • Manage and organize documentation, records, and filing systems, ensuring that all paperwork is accurately maintained and easily accessible.
  • Assist with invoicing, tracking payments, and managing expense records, providing basic bookkeeping support for the coworking space.
  • Maintain accurate and organized financial records, such as receipts, invoices, and billing information, and prepare reports as needed.
  • Coordinate member sign-ups, renewals, and contract paperwork, ensuring timely processing and accuracy.
  • Support the daily operations of the coworking space, including tracking supplies, maintaining workspace organization, and addressing basic member needs.
  • Monitor accounts receivable, follow up on payments, and handle basic accounts payable tasks, liaising with the finance team as required.
  • Respond to member inquiries regarding billing or membership agreements, providing clarity and assistance as needed.
  • Ensure common areas are well-maintained, organize office supplies, and address any operational issues promptly by coordinating with relevant teams.
  • Assist with scheduling and managing meeting room bookings, as well as coordinating deliveries and mail distribution.

Job Requirements

We are seeking a detail-oriented and organized Admin Assistant to support the operational and administrative needs of our coworking space. This role is essential in managing paperwork, handling financial records, and assisting in the smooth day-to-day operations. Ideal candidates will have a background in accounting or administrative support, with a strong ability to keep documentation accurate and up-to-date.

  • Strong organizational and multitasking skills with a high level of attention to detail.
  • Background in accounting, finance, or administrative support, with knowledge of bookkeeping principles.
  • Experience with accounting software is a plus.
  • Ability to work independently, take initiative, and support the coworking spaceâs operations in a collaborative manner.
  • Excellent communication skills and a customer-service orientation, maintaining professionalism in member interactions.
