We are looking for a meticulous and organized Group Inventory Executive to handle key inventory and warehouse management responsibilities across our ASEAN operations. This role requires hands-on experience with inventory systems, strong analytical skills, and a commitment to process integrity. The ideal candidate will work closely with our operations and commercial teams to optimize inventory processes and maintain accurate records.

Key Responsibilities:

Inventory Key User / PIC AX Inventory

  • Item Creation for New Products: Manage the creation of new items in the AX system for products and Capex-Lease Assets (LA), including sheet piles, pipes, and accessories.
  • Weekly Repair Report Adjustments: Process weekly repair reports submitted by Warehouse and Operations, ensuring accurate data entry in the movement journal.
  • Stock Adjustments: Handle stock adjustments, checking stock availability and aligning AX records with warehouse reports.
  • Project Cutting and Splicing Adjustments: Coordinate adjustments for cutting and splicing, ensuring inventory reflects the latest project requirements.
  • Monthly Reconciliation: Perform monthly reconciliation to ensure consistent record updates of stocks and LA in AX and physical warehouse.
  • Issue Identification and Resolution: Identify discrepancies in AX recording across countries, investigating and resolving issues with the Operations Manager and Country Head.

Inventory & Warehouse Management

  • Inventory Procedures/Process (SOP): Conduct regular audits on warehouse and safety compliance, ensuring adherence to government regulations.
  • Inventory Count & Reporting: Plan and initiate annual or random stock counts, monitor inventory count programs, and analyze inventory and Capex-LA forecasts.
  • Process Adherence: Ensure warehouse operations follow set procedures, conducting regular checks and reporting discrepancies.
  • Internal Controls: Protect inventory integrity by establishing, monitoring, and enforcing internal control measures.

Reporting

  • ASEAN Group Reports: Prepare inventory summaries, aging reports, lease asset efficiency percentages, and compile updates from local entities.
  • Health & Safety: Submit monthly health and safety reports on manhours for ASEAN operations.

Documentation & Filing Management

  • Document Safekeeping: Follow 5S procedures for the safe storage of operational documents.
  • Cabinet and Archive Management: Regularly update department cabinets and archive files following SOP, ensuring legal requirements are met for document disposal and retention.
  • Project Legal Documentation: Consolidate legal documents, including contracts and securities, in a safe location.

  • Required Skills and Experience:

    • Minimum 1 year of experience in a back-office or inventory role.
    • Diploma qualification or higher.
    • Proficient in Microsoft Word and Excel for reporting and data analysis.
    • Strong problem-solving skills with an eye for detail and accuracy.
