About the job We are seeking a highly skilled PMO Manager to join our team to oversee and enhance our project management processes. The ideal candidate will be responsible for establishing and maintaining project management standards, ensuring project alignment with business goals, and improving the efficiency of project delivery. Key Responsibilities: 1. Project Support: • Assist in the creation and maintenance of project plans, schedules, and timelines. • Coordinate with team members to ensure tasks and deliverables are completed on time. • Track project milestones, and report on the progress to the Project Manager and Head of PMO. 2. Documentation and Reporting: • Maintain project documentation, including project plans, status reports, meeting minutes, and other necessary records. • Prepare regular updates and reports for the Project Manager, Head of PMO and stakeholders. • Organize and archive project documents and ensure they are easily accessible for the team. 3. Meeting Coordination: • Schedule and organize project meetings, including preparing agendas, booking venues, and distributing meeting materials. • Record and distribute meeting minutes, ensuring action items are documented and followed up on. 4. Communication and Collaboration: • Serve as a point of contact for internal teams, clients, and stakeholders, ensuring clear and timely communication. • Facilitate communication among project team members to ensure alignment on goals, deliverables, and timelines. • Address any administrative issues that arise during the project and escalate problems to the Project Manager as needed. 5. Task Tracking and Follow-Up: • Monitor the progress of project activities and follow up with team members on outstanding tasks. • Assist the Project Manager in identifying potential bottlenecks or delays and propose solutions to keep the project on track. 6. Risk and Issue Management: • Help the Project Manager track project risks and issues. • Assist in developing mitigation strategies and ensuring that issues are resolved in a timely manner. Other Duties 1. Collaborate closely with the Business Development and ICT teams to ensure projects are aligned with business strategy and deliver value to customers. 2. Stay updated on emerging technologies and industry trends, ensure adoption best practices and technical excellence across development teams. 3. Promote corporate awareness regarding the importance of digital certification and IT Security. 4. Maintain up-to-date on product knowledge and services, assisting in managing clients’ expectations. 5. Identify relevant tender opportunities and review requirements, assigning tasks to the tender committee and handle tender submission. 6. Ensures confidentiality, integrity and security at all times. 7. All other appropriate duties as and when required by the Superior. Qualifications: • Bachelor’s degree in Business Administration, Project Management, or a related field; PMP or similar certification is preferred. • Proven experience in a PMO role or project management capacity. • Strong understanding of project management methodologies. • Excellent leadership, communication, and interpersonal skills. • Proficient in project management software and tools. • Ability to manage multiple projects simultaneously and work under tight deadlines.
