Responsible for maintaining the organization’s entire IT state. That covers Hardware Management – including employee workstations, servers, mobile devices, etc. – and Software Management – which includes the software tools employees use, the organization’s cloud infrastructure, and other digital systems and services. • Ensure all hardware and software assets are accurately tracked and recorded in the asset management system and discovery tools. Regularly audit asset records to verify accuracy and completeness. • Responsible to review and manage the technology obsolescence as per organization policy and guideline. • Develop and maintain an inventory of all technology assets. • Create and adhere to a board-approved “sunset” policy for older technology. • Track technology changes, availability of updates and vendors’ end-of-life plans. • Conduct risk assessments on technology to determine approximate life expectancy. • Create and maintain an end-of-life schedule for all existing inventory. Devise a plan for replacing technology approaching obsolescence. • Conduct a physical or digital inspection of all assets on the inventory to determine what is still in use and the criticality to the organization. • Identify which department or individual owns end-of-life management assets. Collaborate with the asset owners and cross-functional teams to ensure that obsolescence is managed effectively. • Disposal and decommissioning of IT Assets. Develop, review and update procedures for securely erasing data from hardware being disposed at the end of their lifecycle. Ensure data security protocols are followed during asset disposal. • Continuously assist in managing the lifecycle of the configuration items (CI) to maintain accuracy of the Configuration Management Database (CMDB) through effective management of the discovery process. • Directs, prioritizes any corrective action identified in the Process and ensure the actions are duly carried out. • Produces IT Asset Management related reports and management dashboard, including impact analysis reports, asset status, EOL timelines and technology obsolescence/ lifecycle reports as required. • Identifies opportunities and proposes ideas for improvement with respect to tools, staff, training, process, procedures, work instructions and automation. • Maintains and monitors End-of-support / End-of-Life information for hardware and software and produces relevant management reporting for the relevant stakeholder and senior management. • Monitor and manage infra related software licenses and subscriptions to ensure timely renewal. • Responsible for the implementation and monitoring of environmental Management programs related to IT Assets. • Manage enterprise-wide compliance with all software license agreements and copyright law by monitoring and enforcing proper software usage policies and guidelines to ensure there is no non-conformance. • Conduct internal software audits to identify variances between deployed and licensed software, ensure deployed software aligns with the quantity and licensing models purchased and rectify variances between deployed and licensed software. • Manage vendor software compliance audits as required. • Maintain the Software Asset Management Tool including planning and upgrading of tools components and troubleshooting, to ensure the tool is operating at optimal status that produces accurate reading upon reconcile with software entitlements uploaded. • Participate in commercial negotiation in enterprise agreement to realize maximum commercial value for the Bank. • Coordinate Enterprise license True up and True down, including reasonable forecast to ensure disruption is minimized for business operation whilst maintaining compliance. • Develop license templates/checklists, assess and participate in negotiating new software vendor license agreements and negotiate changes to existing agreements. • Continuously assess the license estate of groupwide to promote both compliance and cost savings through software license optimization (re harvesting) through development of good understanding of software terms of usage. • Develop software policies, processes, and guidelines to ensure compliance. • Review and provide advisory on software licenses for new projects and new requests to avoid unnecessary wastage and avoid non-compliance usage. Requirement/ Key Skills / Knowledge and Behaviors (if applicable) • Minimum Diploma or Degree (Any IT Fields) • Have 2 – 5 years of IT Asset Management and/or EOL/EOS Technology Obsolescence Management experience. • Have knowledge of tracking EOL/EOS Hardware platforms i.e., Physical Server, Virtualization hardware, Switches, Firewalls, etc. • Have knowledge of tracking EOL/EOS for Operating System Flavours i.e., RedHat, Solaris, AIX, Wintel etc. • Have knowledge of software license management.
