Job Overview
We are looking for a highly organized and proactive Admin Executive to handle administrative duties for office management, document management, human resources, and bookkeeping functions.
Key Responsibilities:
Office Management
- Manage day-to-day office operations, including office supplies, equipment maintenance, and office environment management.
- Serve as the first point of contact for office-related inquiries and visitors.
Document Management
- Organize and maintain physical and digital filing systems for important business documents, including contracts, financial records, and project files.
- Assist with the preparation and formatting of reports, presentations, and correspondence.
Human Resources Support
- Assist HR tasks, e.g. employee onboarding, timekeeping, and leave management.
- Support recruitment processes, e.g. scheduling interviews.
Bookkeeping and Finance
- Assist with basic bookkeeping tasks, including processing invoices, tracking expenses, and managing petty cash.
- Maintain accurate records of financial transactions in coordination with the finance team.
Cross-Functional Collaboration
- Provide administrative support to project teams, including coordinating schedules, travel arrangements, and document management.
- Liaise with external vendors, clients, and contractors as needed to ensure smooth office operations.
Qualifications & Skills
- Experience: Minimum of 5 years of experience in office administration, document management, HR support, and bookkeeping functions.
- Software Proficiency: Proficiency in software such as Microsoft Office (Word, Excel) and experience with basic accounting software (i.e. Xero).
- Confidentiality: High level of discretion and confidentiality in handling sensitive information.
Preferred Skills
- Familiarity with HR functions and employment laws in Malaysia and SEA countries

Pay: RM3,500.00 - RM4,500.00 per month
