Job Overview:
We are seeking an organized and detail-oriented Administrative Assistant to provide comprehensive administrative support to our team. The ideal candidate will be proactive, dependable, and able to handle a variety of tasks in a fast-paced environment. You will serve as the backbone of the office, ensuring smooth operations and assisting with day-to-day administrative functions.
Key Responsibilities:
- Office Management:
- Greet and assist visitors, ensuring a professional and welcoming environment.
- Manage office supplies, inventory, and equipment, and coordinate maintenance as needed.
- Maintain office filing systems, both physical and electronic, ensuring all documents are organized and easily accessible.
- Calendar and Scheduling:
- Schedule and coordinate appointments, meetings, and conferences.
- Coordinate logistics for meetings, including room bookings
- Correspondence and Communication:
- Prepare correspondence, reports and other documents.
- Assist with internal and external communication, ensuring effective and timely dissemination of information.
- Data Entry and Documentation:
- Maintain accurate records, data entry, and filing
- Assist in contract commencement and renewal documentation
- Assist in preparing reports, presentations, quotations and other documents as required.
- Payroll Checking:
- Assist in attendance checking for payroll purposes
- Financial Support:
- Process invoices, track budgets, and manage expenses
- Assist with financial documentation and reconciliation processes as needed.
- Project Coordination:
- Provide support on special projects and initiatives.
- Track project deadlines, milestones, and deliverables, ensuring completion within established timelines.
- Team Collaboration:
- Assist in coordinating team activities and events.
- Work collaboratively with other departments to ensure smooth workflow and communication.
Required Qualifications:
- Diploma or Degree equivalent
- Proven experience as an Administrative Assistant or in a similar administrative role. At least 1 year experience.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent communication skills, both written and verbal.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team in a dynamic environment.
Working Hours:
- Monday to Friday 8.30am to 5.30pm; Saturday 8.30am to 1pm
