Brief Insight of the role

The ideal candidate for this position will excel if they can keep their calm in a high-pressure environment coordinating the logistics of the CEO of the company. The candidate should have some relevant experience to the role that highlights their capability to conduct all administrative work, making sure the CEO's operations run smoothly. Thus, the candidate should be detail oriented and a creative problem solver.

What would the roles be?

  • You will need to provide a comprehensive secretarial and administration service to the CEO across the work range
  • You will need to develop, maintain and review administration systems to achieve maximum efficiency
  • You will be maintaining and organizing the CEO’s diary, filing system and all other relevant areas as necessary
  • You will be supporting the CEO in the projects, proposals, bids, etc. through research, consultation, team-management
  • You will need to draft speeches, articles, briefings, and project proposals as requested by the CEO
  • You will professionally represent the organization at sector networking events
  • You will need to facilitate meetings, schedule debriefing meetings so follow up action can be implemented. Also, by arranging refreshments, seating and taking minutes if required to do so
  • You will be responding to other stakeholder queries in a timely and professional manner, both orally and in writing
  • You will need to coordinate all senior management travel arrangements
  • You will need to maintain the complaints file and ensure all complaints are responded to within target timescales
  • You will need to maintain and continuously keep up to date all CEO’s mailing lists
  • You need to ensure the effective management and update of all relevant databases
  • You will need to liaise positively and professionally with colleagues and visitors
  • You will need to perform any other duties commensurate with the accountabilities of the post
  • You will need to prepare expense report for the CEO

What are the pre-requisites?

  • You have excellent command of spoken and written English and ability to communicate at all levels
  • You are proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
  • You have strong intrapersonal skills with an approachable personality
  • You have excellent writing and strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • You have proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • You have good knowledge of database systems and processes
  • You have the ability to work under pressure to agreed deadlines and adapt to change
  • You have the ability to work in a flexible manner – out of hours as required
  • You have the ability to represent the company externally with key stakeholders.

Job Type: Permanent

Pay: RM2,600.00 - RM5,000.00 per month
