Strategic Examination Planning and Management:

Key Responsibilities:

  • Develop and oversee the university’s examination calendar, coordinating with academic departments to finalize schedules for midterm and final exams.
  • Plan and supervise the entire examination lifecycle, from preparation and scheduling to result issuance, ensuring timelines align with academic regulations and policies.

Policy Compliance and Quality Assurance:

  • Ensure all examination processes comply with MQA standards and MOHE regulations, regularly reviewing policies to maintain quality and effectiveness in examination procedures.
  • Implement and enforce guidelines to prevent academic misconduct, fostering a fair and credible examination environment.

Examination Security and Confidentiality:

  • Ensure the safe storage and handling of examination materials, implementing secure distribution protocols and maintaining strict confidentiality standards.
  • Establish preventive measures for breaches in exam security and respond proactively to resolve any security incidents or breaches.

Resource Allocation and Venue Management:

  • Manage and allocate resources, including examination halls, invigilation staff, and required materials, to facilitate a seamless examination experience.
  • Coordinate with campus facilities to ensure all venues meet necessary standards for accessibility, comfort, and technological support.

Student and Faculty Communication:

  • Serve as the primary point of contact for examination-related queries from students and faculty, providing clear guidance on processes, requirements, and policies.
  • Facilitate and manage any student appeals or grievances related to exams, working within the university’s established procedures to ensure fair resolutions.

Examination Systems and Data Management:

  • Oversee the administration of examination software, maintaining accurate and updated exam records, and ensuring compliance with data privacy regulations.
  • Analyze exam performance data and trends to provide actionable insights to academic departments and senior management, supporting continuous improvement.

Continuous Improvement Initiatives:

  • Lead efforts to enhance examination processes, integrating best practices and innovative technologies for better efficiency, security, and user experience.
  • Monitor developments in academic assessment both locally and internationally, adapting relevant practices to improve the university’s examination standards.

Training and Staff Development:

  • Conduct regular training sessions for examination staff, including invigilators and administrative personnel, to ensure they are well-versed in exam protocols and security measures.
  • Promote a culture of integrity, teamwork, and accountability among examination personnel.

Qualifications:

  • Bachelor’s or Master’s degree in Education Management, Administration, or a related field. Additional qualifications in Examination Management or Assessment would be advantageous.
  • A minimum of 5 years of experience in examination management, academic administration, or a similar role within a higher education setting in Malaysia.
  • Familiarity with MQA and MOHE requirements, along with experience in regulatory compliance, is preferred.
  • Proficiency in examination management software and strong skills in data analysis and reporting.
  • Excellent organizational and multitasking abilities, with a keen eye for detail and accuracy.
  • Strong interpersonal and communication skills, capable of effectively engaging with students, faculty, and external regulators.
  • Ethical and committed to maintaining high standards of integrity in examination practices.
  • Adaptable and proactive, with the ability to respond effectively to challenges and process improvements.

Job Type: Contract
Contract length: 24 months

Pay: RM4,500.00 per month
