Description

Primary Objective:

Provide new hires with a pleasant on-boarding experience, early engagement advisory with seamless processes so that they are able to operate on Day 1


Key Responsibilities:


To carry out the following roles and responsibilities as listed in the key relationship in accordance to GHR approving authority matrix, policies, guidelines, frameworks, related programs and initiatives :

  • Prepare welcome pack to be posted to Regional Director’s / Branch Manager’s office for the Meet & Greet session for new hires in the geographical area of Klang Valley North Region, Northern Region and Customer Care/Call Centre. This is to ensure that Regional Director / Hiring Manager has the necessary materials for the new hires and in line with providing them a pleasant on-boarding experience
  • Monitor and reply emails in the GHR D1 inbox to ensure that turnaround time for response to hiring managers, administrators, recruiters, HR Business Partners and other stakeholders is within reasonable timeline – maximum 2 days turnaround time
  • Receive information on new hires commencement date, collate information and send email notification to Group HR Shared Services to request for Staff ID number creation. This is important to facilitate for other administration processes.
  • Flow the information of the new hires to administrator in charged to ensure administration, logistic, computer, access tag, parking lot (if relevant) is ready for the new hires before the commencement date
  • Handles incoming calls and enquiries relating to the on-boarding process and work closely with stakeholders/ business unit to assist them with their request on arrangement on Meet & Greet session
  • Facilitate the Meet & Greet e.g. prepare attendance list, book rooms for the event, order refreshment (if required) to ensure that the session runs smoothly without hiccup
  • Verify and to ensure all new hire forms are in order to complete the new hires Personal File for submission to HR Shared Service for processing
  • Email the 7th Day On-Boarding Survey to respective new hires to collate feedback on their experience and for areas of improvement. Information collated will be presented to supervisor for monthly reporting and for process improvement.
Requirements
Requirements:
Bachelor Degree - Any Field.




Minimum 2 years of experience in Human Resource in particular, recruitment, administration and shared services.

  • Excellent consultative, strategic thinking, problem solving and interpersonal skills.
  • Possess strong administrative abilities with good organization.
  • High attention to detail
  • Able to plan, organise and manage a multitude of tasks concurrently and effectively
  • Strong customer focus; listening and responding to internal customer issues
  • Good communication skills and ability to working collaboratively to deliver results
