Job Purpose
The Student Services Manager is responsible to lead the Student Services Department in the day-to-day operations of the department to facilitate the delivery of services to students in Saito University College for the successful progression of students from enrolment through to graduation.
He/she is required to work closely with key persons in the Schools/Faculties to ensure excellent student experience. This role includes registration of students, managing students financial aids, coordinating student activities, overseeing counselling services, safety and welfare of students and conducting student orientations.
Key Duties and Responsibilities
Student Activities
· Meet with student and faculty groups to plan, coordinate and organize various co-curricular, extra-curricular and recreational activities, including intra-college, inter-college and inter-house sports and extra-curricular activities, competitions, community service, social campaign and charity events.
· Coordinate and schedule events and activities and ensure they do not overlap with other University programmes and activities.
· Provide advice and guidance, maintain positive and effective communication with the Student Council.
· Prepare the financial statement of every student programme organized and report to the Management.
· Plan, coordinate and organize field trips and excursions.
· Supervise clubs and societies
Counselling Services
· Manage the delivery of student counselling services in accordance with legal requirements, ethical codes of practitioner licence and policy of Saito University College.
· Establish, maintain and evaluate the goals and objectives of Student Counselling Services as well as operating processes, procedures and standards.
Safety and Welfare of Students
· Lead on the care, welfare and safety of students (including international students) at all times.
· Act as the first point of contact for students requiring assistance.
· Provide support to students for any problem that may arise.
· Kept informed of any welfare issues that may be addressed by other team members and keep Management informed of any major welfare issues.
· Communicate policies regarding all aspects of student welfare; ensure students are supported and guided and provided with up-to-date and correct information at all times.
Students Orientation and Engagement
· Liaise with relevant departments to create a comprehensive Welcome Guide for incoming students to implement a successful pre-arrival experience
· Plan, prepare informational materials, coordinate and facilitate students orientation sessions to ensure successful transition of students into Saito University College
· Plan and organize engagement programmes and activities in collaboration with internal and external stakeholders to deliver experiences that support student success and satisfaction
· Plan and organize University College functions such as University Carnival, Award Ceremony, Farewell Programme, Student Party and Dinners etc.
Students Financial Aids
· Manage the student loan applications (PTPTN, MARA and other funding bodies) and ensure that the loan application processes are completed on time and in compliance with established regulations and guidelines.
· Respond timely and accurately to enquiries and resolve student complaints, grievances and appeals regarding all aspects of student financial assistance matters.
· Ensure timely submission of academic results, application forms and student loan agreements to funding bodies.
· Provide information and reports regarding to students financial aids to Management and funding bodies, as required.
Others
· Ensure department’s budget is planned, prepared and monitored and allocate expenditures within approved budgetary limits.
· Plan and organise student satisfaction surveys across the academic year and report results to Management Committee.
· Collect and analyse statistical data, develop systems and tools to evaluate effectiveness of programmes and services and prepare reports for Management.
· Undertake any other duties the University College may reasonably direct from time to time.
Job Requirements
· Bachelor’s degree in Social Science, Sociology, Business Administration or equivalent
· At least 5 years of administrative experience in student affairs and providing student services in an educational environment
· Ability to multitask and deliver results within stipulated timelines
· Excellent communication skills, verbal and written, including presentation skills
· Ability to communicate, interact and relate to students and parents as well as staff and stakeholders
· Excellent organizational and time management skills
· Customer focus with passion to assist students
· Ability to use good judgement to address varied situations and complex problems
· Good knowledge of Microsoft Word, Excel and PowerPoint
· Good command of English and Bahasa Malaysia
Job Types: Full-time, Contract
Pay: RM4,500.00 - RM6,500.00 per month
