OBJECTIVE OF THE ROLE

This role primarily leads the end-to-end project management of National Symposium in order to ensure a positive and meaningful experience for all attendees, including teachers, students, public and private stakeholders.


MISSION FOR THE ROLE

With the larger purpose of achieving National Symposium’s Vision and Goals, the National Symposium Project Manager works within Teach For Malaysia (TFM)’s PDG Team to:

  • Design the overall programmatic and logistics flow for NS
  • Ensure that the internal project planning and deliverables for NS is achieved and completed on time, within scope, and on budget.
  • Ensure reporting to Working Committee is completed in a timely manner


DUTIES AND RESPONSIBILITIES


Project Planning and Coordination:

  • Develop detailed project plans, schedules, and timelines.
  • Estimate resource needs and manage allocation of resources (e.g., team members, budget, materials).
  • Identify project dependencies and potential risks, and develop mitigation strategies.


Procurement:

  • Manage the procurement process for all materials purchased / rented for usage during National Symposium
  • Manage inventory count for assets related to National Symposium
  • Sourcing out the procurement of STEM Kit to be distributed and delivered to the graduating cohort of Program Duta Guru


Content and Series Planning:

  • Manage the internal series team to develop session content that aligns with the symposium’s objectives.
  • Create and implement a series of thematic events leading up to the symposium to build engagement and momentum.


Execution and Implementation:

  • Effectively manage all logistical matters with regards to National Symposium; including, but not limited to registration, inventory, technology, merchandise, etc.
  • Work with session owners to provide recommendations for learning experience.
  • Develop, implement and maintain effective processes and communication structures that allow for smooth and efficient communication within the movement and with external stakeholders
  • Design and execute an efficient and comprehensive strategy for the operations team to work throughout the planning and execution of National Symposium
  • Manage an Operations Associate to execute the aforementioned strategy


Risk Management:

  • Proactively identify and assess project risks and issues, and implement contingency plans.
  • Capture and track issues, risks and all relevant updates on event operations implementation from all relevant sources, and collaborate with the related stakeholders to address any if necessary


Budget and Cost Management:

  • Develop and manage project budgets, ensuring efficient use of financial resources.
  • Monitor and control project costs to ensure the planning and execution of the National Symposium is on budget.
  • Any other responsibilities assigned as required to support the needs of the organisation where appropriate

  • Measure 1 - Successful delivery of the National Symposium
  • Measure 2 - On-time reporting for external stakeholders (Working Committee)

Years of experience & qualification

  • At least 4 years experience in any related field
  • Candidates with event management experience is preferred
  • Bachelor's Degree in any related field.

Language & Technical Proficiency

  • Strong written and verbal skills and excellent proficiency in English and basic proficiency in Bahasa Malaysia

  • Willing and able to readily adopt and utilise any TFM database or technological platform / application (i.e. Google Suites, Confluence, Salesforce, Zoom etc.)
