Key Responsibilities
- Manage the daily calendar and contacts for the Partners; organize multiple calendars and schedules; resolving any scheduling issues
- Prepare Word, Excel, or PowerPoint presentations, agendas, reports, special projects and any other documents requested by the Partners or from relevant stakeholders.
- Arrange travel and accommodations for Partners, including preparing travel and expense reports.
- Screen incoming telephone calls and handle the inbound communication by taking and delivering accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Draft and prepare correspondence as requested by the Partners or any relevant stakeholders for internal announcements, board meetings, and events.
- Represent the company and the Partners with courtesy / decorum, logical & practical thinking.
- Ability to do reading, researching, collecting and analyzing information as needed, in advance if required by Partners.
- Maintain an organized filing system both physically and digitally
- Manage private and confidential matters with a high level of integrity and discretion.
- Complete ad hoc projects as assigned – such as personal events and/or family needs, etc.
Key Requirements
- Bachelor's degree in business administration, office management or related field
- 5+ years of related experience required in working in an executive assistant role supporting C-Level executives.
- Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Excellent communication and time management skills; proven ability to meet deadlines.
- Flexible hours as dictated by the needs of business for projects and meetings.
- Strong team working skills – relationship management, interpersonal, communication (both written and spoken), negotiation and organizational skills, a strong ability to work independently and be a self-starter with a sense of ownership.
- Objective and structured thinker, with good judgement and quick learning capacity with impeccable attention to detail.
- Positive attitude and the ability to collaborate effectively with internal and external stakeholders given by the ambiguity, sudden changes, and fast-paced environment.
