Our client is an international engineering group, manufacturing a wide range of precision engineering products in industrial machinery and equipment merchant wholesaler industry. They are currently looking for the right candidate to fill the following position
PURCHASING & SUPPLY CHAIN MANAGER
(Based in Shah Alam, Selangor)
Responsibilities:
1) Inventory
- Set stock levels in accordance with agreed rules
- Review stock levels and ensure replenishment ordering is carried out each month
- Ensure that stock levels are maintained to provide a high level of customer service
- Ensure that slow moving stocks are reduced as much as possible • Manage stocktakes and ensure satisfactory systems are in place
- Calculate stock provision using Group rules and develop actions to reduce the value
2) Purchasing
- Manage low-cost country (LCC) sourcing including developing new suppliers, maintaining an up-to-date supplier capability assessment database, ensuring required quality levels are met, ensuring on-time deliveries and driving cost reductions.
- Establish good relations with suppliers and visit them annually (China)
- Check GRN and product costing and reconcile actual goods received with GIT entries and stocks ledger to General Ledger.
- Manage forwarders and transport subcontractors for efficient customs declaration and cost effective, prompt and accurate delivery to customers, including breaking bulk of goods at offsite warehouses.
- Ensure that sound commercial purchasing procedures are followed
- Ensure that accurate supplier files are maintained on the computer system
- Ensure that Purchase Orders are raised as required and deliveries are proactively expedited to obtain timely deliveries
3) Logistics
- Ensure that logistics systems operate efficiently at an acceptable level of cost
- Coordinating transportation providers to ensure prompt and proper movement of shipments
- Reviewing shipping documents to ensure accuracy
- Making special shipping arrangements as necessary
- Tracking and fixing shipping errors
- Ensure that customs clearance services operate satisfactorily for incoming goods and that duty payments are correct
- Provide the necessary export documentation and arrange export logistics
4) Warehouses
- Ensure that Warehouses provide a satisfactory level of customer service
- Ensure that safe handling, storage, and packaging procedures operate in the Warehouses and maintain risk assessments.
- Maintain accurate records of inventory in the individual Warehouses
- Maintain clear procedures for warehouse operations and ensure compliance with them
- Maintain a high level of housekeeping and warehouse appearance with well organised stock locations
- Perform rolling stocktakes to ensure accurate stock records
- Develop a barcoding and electronic stock checking system
5) Manage a broad range of industrial stocks to achieve a high level of stock accuracy, assisting in investigating and resolving variances and ensure accurate supply prices are maintained on the system.
6) Check GRN and product costing and reconcile actual goods received with GIT entries and stocks ledger to General Ledger.
7) Prepare documentation for stock withdrawals/deliveries.
8) Assist in actions to reduce slow/non-moving stocks, maintaining a list of wrongly ordered/reject stocks for monthly review.
9) Review correct classification of actual stocks to stock codes, purging redundant codes.
10) Assist Sales units on stock availability enquiries and ensure fast moving stocks are replenished.
11) Track and expedite outstanding and overdue purchase orders.
12) Assist in the forecasting and material planning for assembly components
13) Carry out stock count and reconciliation twice yearly.

Health, Safety & Environment (HSE)
- Behave in a manner that doesn’t compromise on safety and ensure others do the same.
- Visibly lead safety culture by modelling safe behaviour and engage people to work safely and productively whilst holding them accountable to safety standards.
- Maintaining a high standard of 5S and housekeeping.
- Maintain procedures and work practices for ISO accreditation for Health, Safety and Environment.
- Contribute to complying with the “Group Framework” activities, and maintain compliance with the “Group Framework” in the areas of responsibility.
Requirements:
- Preferably degree qualified
- Qualifications in Purchasing/Inventory Management
- At least 5 years’ experience working in purchasing and inventory control including at least 5 years’ experience in an industrial product environment.
- Substantial experience working with a comprehensive computerised ERP system
- Experience with import and export procedures and documentation
- Must be able to communicate in Mandarin as most of the suppliers are based in China and also has a good command of English.
- Good communication and presentation skills with fluency in spoken and written English
- Microsoft Excel spreadsheet experience is essential and familiarity with stocks management computer software ERP
Salary RM12,000, to commensurate with experience. The position reports to the Managing Director, SE Asia.
