Position Overview:

As a key team player, our Office Executive is essential for keeping our office running smoothly and efficiently. You'll be responsible for tasks like managing supplies, handling paperwork, and collaborating with both internal and external stakeholders.

Responsibilities:

  • Professionally handle incoming calls and greet visitors.
  • Assist with office layout planning, relocations, and the management and maintenance of IT infrastructure.
  • Ensure office equipment functions correctly and manage maintenance tasks, coordinating with landlords and contractors.
  • Oversee office supplies inventory and place orders as needed to ensure the office is well-stocked.
  • Support facility management and hygiene, maintain workflow, and generate necessary reports.
  • Perform administrative tasks, including data entry, filing, and document preparation.
  • Review and verify monthly expense claims to ensure accuracy and compliance.
  • Assist in liaising with tax agents, government bodies, and other related professionals.
  • Handle sensitive information with integrity and confidentiality.
  • Any additional tasks as assigned by superiors and management.

Requirements:

  • Minimum Diploma/Advanced/Higher/Graduate Diploma in Business Administration or related field.
  • Preferably entry-level specialized in clerical/administrative support or equivalent
  • Proficiency in computer skills, particularly with MS Office applications.
  • Strong administrative and organizational skills.
  • Excellent communication and problem-solving abilities.
  • Proactive and able to collaborate effectively with various departments.
  • Immediate availability preferred.
