POSITION SUMMARY The Warehouse Administrator will manage the administrative functions within the warehouse, ensuring a smooth flow of inventory, documentation, and client services. In addition to managing shipments, stock levels, and inventory records, the role includes handling various clerical duties such as preparing correspondence, answering phones, filing electronic and paper documents, and managing internal and external customer requests. The Warehouse Administrator will also assist in cashiering operations, coordinate meetings, and manage departmental events. ESSENTIAL FUNCTIONS A. INVENTORY MANAGEMENT: Maintain accurate records of stock levels, including inbound and outbound shipments. Update and monitor inventory databases or systems. Conduct regular inventory audits and reconcile discrepancies. Orders and manages non-trade supplies, including the upkeep of stockcards. B. DOCUMENTATION AND FILING: Prepare and maintain shipping documents such as packing lists, invoices, and delivery notes. Electronic and hard copy filing and file maintenance to ensure proper organization of records. Printing, copying, and scanning of documents for warehouse operations. Data entry and validation in electronic databases, ensuring accuracy and timeliness. C. CASHIERING AND CUSTOMER INTERACTION: Opening of the counter and managing all aspects of cashiering at the warehouse or affiliated shop. Interact with customers, providing assistance and handling transactions. D. REPORTING AND RECORD KEEPING: Develop and compile weekly reports on warehouse activities and stock levels. Work on monthly/quarterly reports, database upkeep, and record-keeping to support multiple client programs. Assist in preparing reports related to warehouse activities, shipments, and compliance. E. COMMUNICATION: Answers phone calls, handles general inquiries, and takes messages/meeting minutes during meetings. Maintains and communicates group schedules, including store visits from the Sales and Marketing team. Liaise with other departments such as procurement, logistics, and vendors to coordinate deliveries and stock requirements. Correspond with vendors for departmental needs, including handling invoicing. F. ADMINISTRATIVE SUPPORT: Assist with scheduling departmental events and ensure proper communication with relevant teams. Coordinates and schedules visits, ensuring that the Sales and Marketing team is informed of necessary arrangements. G. COMPLIANCE & SAFETY: Ensure adherence to health and safety regulations within the warehouse. Assist warehouse supervisor to maintain an organized, safe, and efficient warehouse environment. H. LOGISTICS ADMINISTRATION Coordinate documentation to ensure delivery of goods is ready to support operation nationwide Coordinate with stakeholders to ensure timely payment for maintenance of vehicle Ensure road tax & insurance are in compliance with regulatory bodies Ensure vehicle is in compliance with local authorities and meet the requirement by regulatory bodies.
