As we expand, we're looking for a versatile and proactive HR & Administration Executive to help shape our people operations and ensure smooth administrative processes across the organization.
Role Overview
The HR & Administration Executive will be responsible for handling a broad range of HR functions, including recruitment, employee relations, and onboarding, alongside key administrative tasks. This role requires a highly organized, self-motivated, and resourceful individual who thrives in a fast-paced environment and is comfortable with wearing multiple hats.
Key Responsibilities
Recruitment & Onboarding
- Assist in the recruitment process including posting job openings, screening resumes, and coordinating interviews.
- Manage new employee onboarding, including preparing contracts, explaining company policies, and facilitating orientation.
- Maintain employee records and ensure compliance with HR policies and labor laws.
Employee Engagement & Welfare
- Support the development and implementation of employee engagement initiatives, ensuring a positive and collaborative workplace culture.
- Act as a point of contact for employees regarding HR-related queries and concerns.
- Coordinate employee benefits programs (health insurance, paid time off, etc.).
Compliance & Policy Management
- Help ensure compliance with local labor laws and HR best practices.
- Assist in the development and implementation of HR policies and procedures.
- Maintain HR records and confidentiality in accordance with company policy and data protection regulations.
Office Management
- Manage day-to-day office operations, including maintaining office supplies, coordinating office maintenance, and ensuring the office environment is organized and efficient.
- Handle vendor management (e.g., office supplies, equipment servicing, etc.) and liaise with service providers.
Event Coordination
- Organize internal events, team-building activities, and employee celebrations to enhance company culture.
- Assist in managing external events, meetings, and conferences as required.
General Administrative Support
- Handle general office administration tasks such as scheduling meetings, managing calendars, coordinating travel arrangements, and preparing internal communications.
- Assist in data entry, document management, and maintaining internal systems.
Additional Responsibilities
- Provide support to the leadership team in various projects, including HR strategy and organizational development.
- Contribute to continuous improvement initiatives in HR practices and administrative processes.
- Maintain confidentiality and discretion in handling sensitive employee and company information.
Key Requirements
- Bachelor's degree in Human Resources, Business Administration, or related field (or equivalent experience).
- Proven experience (1-2 years) in an HR or administrative role, preferably within a startup or fast-paced environment.
- Strong understanding of HR principles, recruitment, employee relations, and labor laws.
- Excellent organizational, multitasking, and time management skills.
- Strong communication skills, both verbal and written.
- Proficient in Microsoft Office Suite and HR software
- Ability to work independently and as part of a small, collaborative team.
- A proactive, problem-solving attitude and a passion for creating an excellent employee experience.
