JOB DESCRIPTION:
- Oversee the full spectrum of administrative functions, including managing company licenses, insurance policies, tenancy agreements, utilities, and maintenance activities to ensure compliance and smooth operation.
- Develop and manage administration schedules and ensure all deadlines are met, coordinating across departments as needed.
- Track and manage the company’s administration budget and expenses, ensuring all expenditures are within approved limits and cost-effective.
- Monitor office stationery and supplies inventory levels and manage the purchasing process for new materials, keeping within budgetary constraints.
- Supervise facilities services, oversee maintenance activities, and coordinate with tradespersons (e.g., electricians, plumbers) to maintain a safe and efficient work environment.
- Develop and maintain an organized filing system for all company documents and records to ensure easy retrieval and compliance with record-keeping policies.
- Provide logistical and administrative support for company events and functions, including coordination and setup.
- Process and manage director claims accurately and promptly in accordance with company policies.
- Arrange travel logistics, including booking tickets and accommodations, for outstation staff and ensure all arrangements align with company policies.
- Ensure all administrative processes comply with internal policies and external regulations.
- Carry out any additional duties the superior directs to support overall business objectives and departmental needs.
- Support company events & functions when necessary.
REQUIREMENTS:
-Minimum Diploma or Degree in Business Administration, Management, or a related field
-At least 2-3 years of experience in an administrative or executive support role, preferably within a corporate environment
-Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with office management systems
-Strong organizational and multitasking skills with an ability to manage multiple priorities and deadlines.
-Excellent written and verbal communication skills
-Ability to work independently and as part of a team
-Good problem-solving skills and the ability to handle unexpected challenges professionally
-Knowing corporate secretarial work and laws will be an additional advantage
-High level of integrity and ability to handle confidential information.
-Proactive, self-motivated, and adaptable to change
Job Types: Full-time, Permanent
Pay: RM2,500.00 - RM4,000.00 per month
