Job Summary:
We are seeking a proactive and detail-oriented Sales Coordinator to support the sales team by managing key administrative and coordination tasks across the sales cycle. This includes handling quotations, overseeing installations, ensuring billing accuracy, and providing after-sales support. The role requires strong organizational skills, the ability to work independently, and a commitment to maintaining efficient workflows and seamless communication between customers and internal teams.
Responsibilities:
Beginning of the Sales Cycle
1. Quotation Management
Prepare and issue finalized quotations after customer confirmation and signature.
Accurately record quotations in the Accounting/Billing system.
2. Customer Information and Documentation
Collect and update required customer information and documents (e.g., company
registration).
Maintain accurate customer data in the system for processing.
3. Listing Coordination
Gather and organize listings from customers to schedule installations.
4. Sales Order Handover
Collaborate with the Scheduler to hand over completed sales orders for further processing.
5. Customer Group Creation & Communication Metrics
Create customer groups and track communication metrics for sales and support
activities.
6. Sales & Product Training
Coordinate training sessions with trainers and customers.
Gain and maintain expertise in the company’s products and services.
End of the Sales Cycle
7. Service Termination & Device Dismantling Coordination
Coordinate service termination and device dismantling with the Scheduler.
Work with Customer Relations to ensure customer feedback is documented.
Verify billing adjustments after service termination, ensuring accuracy in charges, if
applicable.
8. After-Sales Support
Monitor installations and pending jobs, keeping Sales and customers updated.
Provide progress reports to the Sales Head of Department (HOD).
9. Customer Service and Requests
Address customer requests and ensure seamless coordination between Business Development, Billing, and other departments.
Consolidate and process upsell opportunities identified by customers or Business Development.
10. Sales and Billing Coordination
Ensure orders reflect accurate pricing, discounts, or special arrangements.
11. Sales Forecasting
Assist the Sales HOD with forecasting activities.
Coordinate with Purchasing and Inventory to align forecasts with stock availability.
12. Trial and Proof of Concept Monitoring
Track customer trials and facilitate Proof of Concept arrangements, including agreement coordination.
13. Internal Product Announcement & Training
Introduce new modules, products, and packages (including add-ons or customizations) to relevant teams.
Requirements and skills:
Diploma or Bachelor’s degree in Business Administration, Marketing, or a related field.
Experience in sales coordination or administrative roles is an advantage.
Strong organizational, problem-solving, and multitasking skills.
Excellent communication and interpersonal abilities.
A team player who can effectively coordinate between departments yet work independently when required.
Proficiency in Google Workspace (Docs, Sheets, Slides, etc.) and familiarity with billing or CRM systems is an advantage.
A proactive and adaptable attitude with a keen eye for detail.
Opening Position: Immediate
Job Type: Full-time
Pay: RM2,300.00 - RM3,000.00 per month
