Assistant Executive (Sourcing & Recruitment)

Our company is looking for an organized, independent, and self-motivated Assistant Executive (Sourcing & Recruitment) that will ensure the company's strategy is adhered to and carried out. The role also requires the candidate to bring in best practices in continuous improvement plans and activity into the organization.
The role involves supporting the recruitment team in sourcing, screening, and hiring talent for various companies within the Group.
Key Responsibilities:
1. Sourcing Candidates
- Assist in creating and posting job ads on various recruitment platforms, job boards, and social media.
- Review incoming applications and resumes, ensuring that they meet the job requirements.
- Maintain and update candidate databases with new applicants and relevant information.
- Conduct research on potential candidates through professional networks like LinkedIn and other talent pools.
2. Coordination and Communication
- Coordinate and schedule interviews between candidates and hiring managers, ensuring smooth communication between both parties.
- Maintain professional communication with candidates, providing information about the company, job roles, interview details, and feedback.
- Assist in preparing and sending offer letters, and ensure candidates understand their roles, responsibilities, and benefits.
3. Screening and Shortlisting
- Conduct initial phone interviews or screening calls to assess candidates' suitability for the role, including availability, salary expectations, and motivation.
- Assist in arranging assessments or skills tests for candidates if required, to evaluate technical or behavioral competencies.
- Participate in or assist during face-to-face or virtual interviews with hiring managers.
4. Onboarding Support
- Ensure that all necessary documentation for new hires (e.g., contracts, tax forms) is completed.
- Assist with onboarding processes, including preparing induction materials and providing a smooth transition for new employees into the company.
5. Admin and Reporting
- Input candidate details, interview feedback, and recruitment metrics into the system for reporting purposes.
- Assist with generating reports on key recruitment metrics (e.g., time-to-hire, cost-per-hire, source of hire).
- Ensure job requisitions are processed timely, and follow up with the department heads on any required clarifications.
6. Employer Branding
- Assist in promoting the company’s employer brand on social media platforms and job fairs to attract top talent.
- Help in coordinating recruitment events, career fairs, or campus hiring drives to raise brand awareness.
7. Compliance and Documentation
- Ensure that all recruitment activities comply with company policies, legal requirements, and industry best practices.
- Maintain confidentiality throughout the hiring process, ensuring sensitive information about candidates and hiring decisions is protected.
Qualifications & Experience
- Qualification: Diploma in Human Resources (HR), Business Administration, or related fields.
- Experience: 2 - 3 years of experience in sourcing and recruitment process, recruitment strategies and sourcing platforms and etc
Knowledge & Skills:
- Strong organizational and multitasking skills.
- Excellent written and verbal communication.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Attention to detail and ability to manage confidential information.
Job Types: Full-time, Contract
Contract length: 24 months
