Job Summary The MQA Junior Executive is responsible for supporting compliance and quality assurance across the organization by conducting internal audits, including ISO and ISCC compliance audits, and serving as the document controller for the group. This role is essential to maintaining high standards in quality, regulatory compliance, and documentation management within the organization. Key Responsibilities Compliance and Quality Audits 1. Conduct Compliance Audits: Perform regular compliance audits to ensure adherence to ISO standards, ISCC requirements, and other regulatory or customer-specific standards across all departments. 2. Audit Preparation and Reporting: Assist in audit planning, gather necessary data, and prepare comprehensive audit reports with findings and recommendations for improvement. 3. Follow-Up on Non-Conformities: Identify non-conformities and track corrective actions, ensuring timely resolution and continuous improvement. 4. Assist with External Audits: Support external auditors during audits by providing necessary documentation, responding to inquiries, and coordinating with internal teams. 5. Training and Awareness: Assist in developing and delivering training materials and sessions on compliance requirements, quality standards, and best practices. Document Control 1. Manage Document Control System: Establish, update, and maintain an organized document control system for the group, ensuring that all records, policies, and procedures are easily accessible and up-to-date. 2. Document Version Control: Ensure proper version control for all official documents, policies, and procedures, preventing unauthorized alterations and maintaining document integrity. 3. Retention and Archiving: Implement retention policies for regulatory documents, ensuring compliance with industry and legal requirements for document storage and archiving. 4. Access and Security: Maintain controlled access to sensitive documents, ensuring confidentiality and security protocols are followed. 5. Document Review and Approval: Facilitate the review, approval, and distribution processes for documents, ensuring that updated documents are disseminated to relevant stakeholders. Support in Quality Management 1. Assist in Quality Management System (QMS) Implementation: Support the development, implementation, and maintenance of the Quality Management System (QMS) within the organization. 2. Continuous Improvement Initiatives: Identify opportunities for process improvement, helping the organization maintain a high standard of quality and compliance. Qualifications • Education: Bachelor’s Degree in Quality Management, Business Administration, Environmental Science, or a related field. • Experience: 1-2 years of experience in quality assurance, compliance auditing, or document control, preferably within the bulking or logistics industry. • Certifications: ISO Internal Auditor Certification or ISCC Certification is an added advantage. Skills and Competencies • Attention to Detail: Strong accuracy in auditing and document control, with a focus on maintaining thorough records and reports. • Analytical Skills: Ability to analyze data, identify trends, and make recommendations based on audit findings. • Proficiency in Documentation Systems: Familiarity with document control systems and proficiency in Microsoft Office Suite. • Communication Skills: Strong verbal and written communication skills for conducting audits, preparing reports, and interacting with stakeholders. • Organizational Skills: Ability to manage multiple tasks efficiently, ensuring that audit schedules and documentation requirements are consistently met. • Problem-Solving Skills: Proactive in identifying issues and implementing corrective actions to enhance compliance and quality.
