Job description
ACCOUNTABILITY
· Update and maintain all business and operating licenses relevant to the company.
· Operate and manage warehouse management software, including record updates and report generation as necessary.
· Maintain accurate records of all warehouse and forwarding transactions.
· Ensure all paperwork is complete, up-to-date, and compliant with company policies and relevant regulations.
· Prepare reports related to stock, shipments, and order statuses for internal and external stakeholders.
· Possess a strong understanding of customs declarations, including procedures for Free Trade Zones (ZB1 & ZB2) and relevant forms (K1, K2, K8, K9).
· Ensure accuracy of import/export customs clearance documentation for the bonded warehouse (K8, K9) in compliance with customs regulations.
· Prepare customs entries with zero errors, ensuring high accuracy standards.
· Organize and securely maintain important company documents, including contracts, customs forms, and manuals.
· Keep customs documentation organized in client, supplier, and stock transfer files for efficient entry processing.
· Handle sensitive information with confidentiality.
· Assist with or provide backup for forwarding declarations.
· Develop and enhance administrative systems to improve efficiency.
· Provide comprehensive administrative support to ensure the efficient operation of the warehouse.
· Perform administrative duties such as filing, typing, copying, binding, and scanning.
EXPERIENCE & QUALIFICATION
· High school diploma or equivalent education required
· 3 years of administrative assistant experience
· Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat
· Competency in Information, Communications and Technology
· Good computer literacy
· Have excellence writing letter skill in Bahasa and English
