The Building EXECUTIVE (BE) is responsible for the followings:

1) Supervise of contracted services (for security, housekeeping services and civil, structural and architectural works).

  • To ensure services rendered by the contractor(s) are as per contract and up to the required standard and quality.
  • To draw up and enforce inspection checklist to all contracted services.
  • To review contractor’s schedules and checklist when necessary and their overall performances periodically.
  • To assist BM to review contractor’s performance and recommend for appointment, renewal or termination of contracts.
  • To maintain full record of contractor’s attendance and service reports.
  • To coordinate regular meeting with contractor and maintain the minute of meeting.
  • To process and verify contractor’s billing/invoices.
  • To assist BM in preparation of work specifications for relevant works which require quotations from external contractors.

2) General maintenance and building operation.

  • To assist BM to establish and supervise implementation of effective preventive maintenance programme for building facilities and equipment.
  • To assist BM to establish emergency procedures and maintain full record of emergencies.
  • To handle maintenance services requests initiated via any established medium (phone/form/apps/etc)
  • To plan and supervise day-to-day job assignment to maintenance personnel.
  • To assist BM on works requiring external contracts attention and advice on works specifications.
  • Establish periodical building walkthrough inspection checklist and conduct walkthrough inspection accordingly.
  • To assist BM to organize after-office-hour maintenance personnel, including stand-by staff on weekends, Sunday and public holidays.
  • To establish an adequate security system and implement accordingly.
  • To assist on management of general traffic and car parking operation and maintenance.
  • To monitor usage of petty cash, maintain full record and request for replenishment when necessary.
  • To assist BM in monitoring and renewal of licenses as required by authorities.
  • To assist BM on preparation of any paper works, letters, memos etc.
  • To assist BM to manage renovation works (moving in/out of tenants and/or owners).
  • To arrange and conduct meetings with authorities and/or clients and prepare the minute of meetings.

3) Office Management (Strata Management Act Compliances)

  • To assist BM in the administration of site office including purchasing of office equipment, stationery, postage etc.
  • To assist BM in the provision of staff provision of staff facilities to the maintenance team such as walkie-talkie, phone etc.
  • To establish and maintain the complaint record, issue form 28 after inspection done, and email or notify the form 28 to owner about the result of the inspection
  • To assist BM in matters of Tribunal related
  • To prepare monthly operation report

Job Type: Full-time

Pay: RM2,500.00 - RM3,000.00 per month
