We are seeking a highly professional and sophisticated Executive Secretary to support our senior management team. The ideal candidate will provide comprehensive administrative support, manage complex schedules, coordinate critical business communications, and ensure smooth operational efficiency for executive-level personnel.
*Key Responsibilities*:
- Manage complex calendars and scheduling for senior executives, coordinating meetings, appointments, and travel arrangements with exceptional attention to detail.
- Serve as the primary communication gateway between executives and internal/external stakeholders, handling sensitive and confidential information with the highest level of discretion.
- Prepare and edit sophisticated correspondence, reports, presentations, and documents using advanced word processing and presentation software.
- Organize and maintain executive-level filing systems, both digital and physical, ensuring impeccable record-keeping and easy information retrieval.
- Coordinate and plan executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Manage executive office logistics, including travel arrangements, expense reporting, and vendor interactions.
- Handle incoming communications, screen and prioritize emails, phone calls, and correspondence with professionalism and efficiency.
- Provide advanced administrative support for special projects, board meetings, and corporate events.
- Assist in developing and implementing office management procedures and administrative workflows.
*Qualifications*:
- Bachelor's degree in Business Administration, Office Management, or related field.
- Minimum 1-5 years of experience as an Executive Secretary or in a high-level administrative support role.
- Exceptional proficiency in Microsoft Office Suite, with advanced skills in Word, Excel, and PowerPoint.
- Excellent command of written and spoken English and Bahasa Malaysia.
- Fluency in Mandarin is required.
- Strong interpersonal and communication skills with the ability to interact professionally with executives and stakeholders.
- Proven ability to handle confidential information with utmost discretion and integrity.
- Advanced organizational and multitasking capabilities.
- Demonstrated problem-solving skills and proactive approach to administrative challenges.

Pay: RM1,792.21 - RM6,496.11 per month
