Job Description 1) Manage the director calendar, including scheduling appointments, meetings, and travel arrangements, while proactively anticipating any scheduling conflicts or issues. 2) Screen and prioritize phone calls, emails, and other forms of communication, responding on behalf of the director when appropriate and redirecting inquiries to the appropriate channels. 3) Draft and prepare correspondence, documents, presentations, and reports as needed, ensuring accuracy and professionalism in all communications. 4) Organize and maintain filing systems, both digital and physical, to ensure efficient retrieval and storage of information. 5) Conduct research on various topics as assigned by the director, compiling information and presenting findings in a clear and concise manner. 6) Manage household and personal affairs as directed by the director, including coordinating household staff, overseeing maintenance projects, and handling personal errands and tasks. 7) Assist with event planning and coordination, including scheduling, logistics, and vendor management for both professional and personal events. 8) Provide support during meetings, including preparing meeting materials, taking minutes, and following up on action items as necessary. 9) Maintain confidentiality and discretion in handling sensitive information, including personal and financial matters. 10) Act as a liaison between the director and external parties, including clients, vendors, and other stakeholders, representing the director in a professional and courteous manner. 11) Perform ad hoc tasks and projects as assigned by the director, demonstrating flexibility and adaptability in meeting changing priorities and demands. Requirements * Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively. * Strong communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels. * Discretion and confidentiality in handling sensitive information and matters. * Proficiency in Microsoft Office Suite and other relevant software applications. * Ability to work independently with minimal supervision, while also functioning effectively as part of a team. * Flexibility and adaptability to changing priorities and demands. * Event planning experiences Education / Experience * SPM, STPM, Diploma, Bachelor's degree or equivalent experience preferred. * Proven experience as a Personal Assistant or similar role, preferably supporting high-level executives or individuals.
