- Project Coordination: Assist and collaborate with project team and cross functional teams to assist in all administrative functions and processes including planning, organising and monitoring of projects from beginning until completion. Coordinate all applications necessary for projects with the relevant authorities (TNB, SEDA, ST, MIDA, etc).
- Schedule Management: Develop and maintain project schedules, track progress, and identify potential delays and bottlenecks. Coordinate with internal teams and external partners/stakeholders to ensure project timelines are met and project resources are optimally utilised.
- Administrative Support: Prepare, organise and distribute all necessary project materials, maintain accurate project records, including contracts, permits, invoices, submissions, and other essential documentation. Assist with procurement activities, such as sourcing materials and managing vendor relationships. Assist with specifications and bill of quantities for contracts and tendering.
- Stakeholder Engagement: Liaise with relevant authorities (TNB, SEDA, ST, MIDA, etc) when necessary. Foster positive relationships with clients, contractors, suppliers and regulatory authorities. Respond promptly and accurately to inquiries, provide necessary project information, and address concerns to maintain strong partnership and ensure customer satisfaction.
- Reporting and Documentation: Generate reports, summaries, and presentations to provide project updates, progress tracking, and performance analysis. Maintain accurate project documentation, including meeting minutes, change orders, and quality assurance records.
- Continuous Improvement: Proactively identify areas for process improvement and contribute to the development and implementation of best practices. Seek opportunities to enhance operational efficiency, cost-effectiveness, and project delivery.
- Others: Ad hoc projects when required by management.
JOB COMPETENCIES REQUIREMENT
- Excellent communication skills, both verbal and written, with the ability to collaborate effectively within multidisciplinary teams.
- Strong organisational and multitasking abilities with exceptional attention to detail
- Good critical thinking, proactive and problem-solving skills to identify and resolve project-related challenges.
- Proficiency in MS Office (in particular Word, Excel and PowerPoint).
- Able to work independently in a fast-paced environment.
