Job Summary
The Assistant Manager, Enrolment & Admissions is responsible for managing and coordinating all activities related to student recruitment and admissions at ELS Language Centres. This role includes supervising Sales Coordinators, overseeing lead follow-up, holding regular sales meetings, coordinating sales efforts with educational agents, and optimising the use of the CRM system (HubSpot) for effective enrolment management. The Assistant Manager’s primary objective is to achieve the enrolment targets set and ensuring high-quality service throughout the admissions process.
Essential job duties & responsibilities
Enrolment Management:
Assist in the development and execution of student recruitment strategies to achieve enrolment targets.
Oversee the enrolment process from inquiry to enrolment, ensuring timely follow-up on leads and providing guidance to prospective students regarding available programmes and admissions requirements.
Admissions Oversight:
Ensure all admission criteria and processes are clearly communicated, and that prospective students understand their eligibility.
Review and verify student applications and documentation to confirm compliance with admission standards.
Supervision of Sales Coordinators:
Lead and supervise a team of Sales Coordinators to ensure effective follow-up on all student leads and inquiries.
Monitor daily activities of the Sales Coordinators, ensuring timely engagement with prospective students.
Provide training and support to Sales Coordinators on best practices for lead management and follow-up.
Daily Sales Meetings:
Conduct daily sales meetings with the Sales & Marketing team to review lead statuses, ensure effective follow-up, and discuss challenges and opportunities.
Set and track daily, weekly, and monthly performance targets for the sales team, aligning with overall enrolment goals.
CRM Management (HubSpot):
Oversee the effective use of HubSpot CRM to manage leads, track student engagement, and monitor the admissions pipeline.
Train and guide the team on optimising CRM features for lead nurturing and follow-up processes.
Analyse CRM data to identify trends, improve processes, and enhance lead tracking and conversion efficiency.
Coordination with Agents:
Establish and maintain relationships with educational agents to enhance student recruitment efforts.
Collaborate with agents to ensure they are well-informed about programmes, admission processes, and enrolment requirements.
Monitor and evaluate agent performance, providing support and resources to maximise their effectiveness in recruiting students.
Organise training sessions or workshops for agents to ensure alignment with institutional standards and procedures.
Stakeholder Engagement:
Engage with prospective students, parents, educational agents, and other stakeholders to build positive relationships and promote enrolment.
Participate in recruitment activities such as open days, school visits, and education fairs to increase visibility and attract students.
Data & Reporting:
Track enrolment trends and provide regular reports on recruitment performance, identifying areas for improvement.
Report on lead conversion rates, CRM activity, and overall sales team performance to the Sales & Marketing Manager.
Compliance & Quality Assurance:
Ensure that enrolment and admissions practices comply with relevant regulations and internal policies.
Uphold data privacy and confidentiality standards when handling student information.
Qualifications & Requirements:
Bachelor’s degree in Marketing, Business Administration, Education, or a related field.
Minimum of 3 years of experience in student enrolment, admissions, or a related role within an educational institution or language centre.
Proven experience in supervising sales teams or coordinators, with strong leadership skills.
Familiarity with CRM platforms, especially HubSpot, and a demonstrated ability to use CRM tools to optimise lead management.
Excellent communication and interpersonal skills, with a focus on building relationships with students and agents.
Strong organisational skills, with the ability to manage multiple tasks and meet deadlines.
Analytical mindset, with the ability to interpret CRM data and make data-driven decisions to enhance the admissions process.
Experience in the education or language centre sector is preferred.
