ROLE OVERVIEW
The primary responsibility will be to support the program of work to create and implement a change management strategy based on OCS strategy standards and devise an internal communication and training plans that maximizes employee adoption and usage whilst minimizing resistance. Communication will play a pivotal role in the strategy and strong emphasize will be relied on in this regard.
The ideal candidate will be able to use their experience learned in previous HRIS transformation programmes to execute the most suitable solutions for our different user groups across the business. They will be able to implement a change program that is engaging, ensures adoption of the new processes and systems, ultimately contributing to the successful delivery of the project.
KEY TASKS & RESPONSIBILITES
Functional:
- Analyze change impact and manage anticipated resistance.
- Ensure organisational initiatives and projects are successfully communicated to employees and stakeholders.
- Create and deliver the change and internal communications strategy that is aligned with project plans and objectives.
- Plan, edit and write content for a variety of internal communications mediums, such as a staff intranet, videos, brochures, leaflets, posters, project newsletter or regular email bulletin.
- Compose and deliver exciting and engaging communications.
- Manage comprehensive internal communications that encompass all levels of the organization.
- Plan and host engagement events.
- Draft messages or scripts from senior executives for presentation to employees in written or spoken form.
- Ensure internal communications messages are consistent across all mediums and for different departments of the organization.
- Build robust communication schedules and control programmes.
- Respond to feedback from staff and adjust communications content accordingly.
- Monitor feedback and rate of adoption of agreed changes.
- Leverage existing OCS tools (OCS Academy, etc.) to host and deliver training materials.
- Work closely with the Integration Communications lead, to ensure bi-weekly newsletters are included by the Sponsor and any internal marketing campaigns include Project updates and progress are programme in and meet communications standards.
- Leverage Digital Communications as part SharePoint Site, etc.
- Set up regular engagement sessions with Change Champions and key stakeholders.
- Coach project team and trainers in the preparation and delivery of lesson plan and materials to ensure effective communications.
- Evaluate and ensure user readiness.
General:
- Avoid conflict of interests between personal interests and the interests of the OCS group.
- Exercise independent judgment, reasonable care, skill and diligence when carrying out their duties.
- Act in good faith and promote the long-term success of each company within the OCS group for the benefit of all members and wider stakeholders.
- Adhere to and promote the OCS group’s policies on equality & diversity, information security, health and safety and data protection in performing their duties.
- Support and promote the OCS group’s sustainability plans and policies, including the Carbon Management Plan, and carry out duties in a resource-effective way, recognizing the shared responsibility of minimizing negative environmental impacts wherever possible.
QUALIFICATIONS, SKILLS & EXPERIENCE
Necessary:
- Must hold a change management certification, such as Prosci (ADKAR), and demonstrate relevant business change experience.
- Experience with large-scale organisational change efforts.
- A solid understanding of how people go through a change and the change process.
- Experience and knowledge of change management principles, methodologies and tools.
- Familiarity with project management approaches, tools and phases of the project lifecycle.
- Ability to clearly articulate messages to a variety of audiences.
- Ability to influence others and move toward a common vision or goal.
- Problem solving and root cause identification skills.
Desirable:
- Change management responsibility for HRIS implementation.
- Experience working in facilities management.

KEY PERFORMANCE INDICATORS
- All governance to be managed in line with Project Management requirements for reporting and timescales.
- Definition and buy in across stakeholder base for holistic Business Change plans.
- Execution and completion of all defined tasks within the business change plans.
- Effective leverage of internal and external resources to ensure that business change activity is delivered as required.
- Effective management of allocated costs for the delivery of Business Change Initiatives.
- Effective issue management using a variety of Project Management Skills and Tools.
Job Types: Full-time, Contract
Contract length: 6 months
Pay: RM10,000.00 - RM15,000.00 per month
