Key Responsibilities: • Perform general administrative duties including answering phone calls, managing emails, and handling correspondence. • Schedule and coordinate meetings, appointments, and travel arrangements. • Maintain and update filing systems, both electronic and physical. • Prepare and edit documents, reports, and presentations. • Assist in the preparation of meeting agendas and take minutes during meetings. • Handle office supply inventory and place orders as necessary. • Greet and assist visitors, ensuring a positive and professional experience. • Manage and organize office operations to ensure efficiency and productivity. • Provide support to other staff members as needed. Qualifications: • High school diploma or equivalent; additional qualification as an administrative assistant or secretary will be a plus. • Proven experience as a secretary or administrative assistant. • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook). • Excellent written and verbal communication skills. • Strong organizational and time-management skills. • Ability to multitask and prioritize tasks effectively. • Attention to detail and problem-solving skills. • Professional demeanor and appearance. • Enthusiasm for learning and a desire for career growth. • Key Knowledge Areas: • Basic knowledge of office management systems and procedures. • Familiarity with scheduling tools and office equipment. • Understanding of basic bookkeeping and accounting principles. • Awareness of confidentiality requirements and data protection.
